Job Overview:
The Sourcing and Procurement Assistant plays a key role in supporting the sourcing and procurement functions within the organization. This individual will be responsible for assisting in the identification, evaluation, and selection of suppliers, as well as managing purchase orders and ensuring timely and cost-effective procurement of goods and services. The role involves working closely with internal teams, vendors, and suppliers to maintain efficient procurement operations and ensure compliance with company policies.
Key Responsibilities:
  • Assist in the identification and evaluation of suppliers for goods and services based on business requirements.
  • Support the preparation and issuance of Requests for Proposals (RFPs), quotations, and tenders.
  • Conduct market research to identify potential suppliers and trends in pricing and availability.
  • Manage and maintain supplier databases, ensuring up-to-date and accurate information.
  • Process purchase orders (POs), track order statuses, and assist with the resolution of any delivery issues or discrepancies.
  • Coordinate the timely delivery of goods and services, ensuring compliance with quality standards and specifications.
  • Assist with contract management, including tracking contract terms, renewals, and supplier performance.
  • Assist in the negotiation of pricing, terms, and conditions with vendors and suppliers.
  • Review and verify invoices for accuracy, ensuring proper documentation and compliance with company policies.
  • Maintain detailed records of procurement activities, including purchase orders, supplier communications, and inventory levels.
  • Support procurement data analysis and reporting, providing insights on trends, cost savings, and supplier performance.
  • Collaborate with cross-functional teams, such as finance, operations, and logistics, to ensure smooth procurement operations.
  • Maintain awareness of market conditions and emerging suppliers and products that could enhance sourcing and procurement processes.
Skills and Qualifications:
  • Bachelor's degree in Business Administration, Supply Chain Management, or related field (or equivalent work experience).
  • Strong communication skills, both verbal and written, with the ability to interact effectively with suppliers and internal teams.
  • Attention to detail and strong organizational skills.
  • Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Excel, Word, Power Point). Experience with procurement software (e.g., SAP, Oracle, or similar) is a plus.
  • Knowledge of procurement best practices and supplier relationship management.
  • Strong problem-solving skills and the ability to think analytically.
  • Previous experience in a procurement or supply chain role is an advantage, but not required.
