The Recruitment Administrator is responsible for providing comprehensive administrative support to the recruitment team, ensuring the efficient and smooth running of the recruitment process from job posting to candidate onboarding.
Key Responsibilities:
- Job Posting and Candidate Sourcing:
- Assist in creating and posting job advertisements on job boards, company websites, and social media platforms.
- Maintain job vacancy tracking and candidate pipelines.
- Coordinate with recruitment agencies and job boards to ensure job ads are up to date.
- Applicant Screening:
- Review and filter incoming job applications to ensure they meet the minimum qualifications.
- Coordinate the initial stages of candidate screening (e.g., phone screenings, scheduling interviews).
- Maintain and update candidate databases and tracking systems.
- Interview Coordination:
- Schedule and coordinate interviews between candidates and hiring managers.
- Prepare interview materials and ensure all necessary documentation is available for interview panels.
- Communicate interview details to candidates, including times, locations, and expectations.
- Candidate Communication:
- Respond to candidate inquiries about job openings and application statuses in a timely and professional manner.
- Ensure candidates are updated on their application progress, including interview feedback and offer outcomes.
- Offer Management:
- Assist with the preparation of job offers and contracts.
- Ensure necessary pre-employment checks (e.g., background checks, references) are carried out.
- Provide support in sending offer letters and onboarding documentation to successful candidates.
- Onboarding Support:
- Assist in coordinating the new hire onboarding process, including scheduling induction sessions, preparing welcome packages, and ensuring that new hires have the necessary tools and information.
- Ensure all pre-employment paperwork (e.g., tax forms, employment contracts) is completed and processed.
- Recruitment Administration:
- Maintain and update the recruitment system with candidate and job information.
- Ensure all candidate documentation is stored securely and in compliance with data protection regulations.
- Assist in the preparation of recruitment reports and metrics, including tracking time-to-hire, interview-to-offer ratios, etc.
- Compliance & Best Practices:
- Ensure recruitment processes adhere to company policies, legal requirements, and best practices.
- Support diversity and inclusion efforts by ensuring equal opportunities are given to all candidates.
- Education: A high school diploma or equivalent is required; a degree in Human Resources or a related field is a plus.
- Experience: Previous administrative experience, preferably within HR or recruitment, is highly desirable.
- Communication: Strong verbal and written communication skills, with the ability to interact professionally with candidates and hiring managers.
- Organizational Skills: Exceptional organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
- Attention to Detail: Ability to manage candidate data and documentation accurately.
- Software Proficiency: Familiarity with applicant tracking systems (ATS), HR software, and MS Office suite (Excel, Word, etc.).
