Job Purpose / Overview
Co-ordination, management and development of gametes donation in Repro Med
Ensure the promotion of awareness of customer requirements throughout the organization.

JOB DESCRIPTION
Key Responsibilities
- Contacting patients (by phone, email, online portal, post) & assisting them with any query they may have regarding gamete donation.
- Booking/co-ordinating appointments for patients.
- Data input when placing and receiving orders.
- Data input on excel to be sent quarterly to Department of Health.
- Liaising with overseas clinics on patient’s treatment & care
Education, Training and Competence:
a) Maintain and develop expertise and knowledge by actively engaging in appropriate continuing development
b) Ensure that your personal Staff Training Record is maintained and up-to-date
c) Manage, participate, and play a key role in the training, education, and support of others as appropriate
d) All staff working in Repro Med service will be expected to comply with the legislative requirements of the Tissue Directive- S.I.158 of 2006 and S.I. 598 of 2007. Full training will be provided
e) It is the duty of all Repro Med staff to report any problems or concerns to their manager immediately.
f) It is the duty of all Repro Med staff to report to their manager immediately if they are experiencing any difficulties in executing their responsibilities.
Academic/ Professional Qualifications and/or Relevant Experience
a) Required:
i. A sound knowledge of the health care environment with an understanding of quality / safety management in general
ii. Possess a full range of administrative skills, well-developed analytical skills, and an ability to work on his / her own initiative
iii. IT skills and experience with Q-Pulse or similar data control system
b) Desirable:
Have worked in quality / safety management environment in the health service
· Confidentiality and Data Protection:
· Be aware of the requirements for absolute confidentiality as per the ‘Data Protection Act 2003’.
· In the course of your employment you may have access to or hear information concerning the medical and personal affairs of patients and/or staff, or other hospital business.
· Such records and information are strictly confidential and unless acting on the instructions of an authorised staff member, on no account must information concerning staff, patients or other hospital business be divulged or discussed except in the performance of normal duty.
· In addition clinical records must never be left in such a manner that unauthorised persons can obtain access to them and must be kept in safe custody when no longer required.
Health & safety:
· All Repro Med staff will be aware of their responsibilities as per the Safety, Health and Welfare at Work (General Application) Regulations 2007 (S.I. No. 299 of 2007)
· A candidate for and any person holding the office must be fully competent and capable of undertaking the duties attached to the post and be in a state of health such as would indicate a reasonable prospect of ability to render regular and efficient service.
· It is the responsibility of all staff throughout the organisation to familiarise themselves with their mandatory training requirements.
· A full orientation package is provided to the successful candidate.
Daily Duties:
· Contacting patients (by phone, email, online portal, post) & assisting them with any query they may have regarding gamete donation.
· Booking/co-ordinating appointments for patients.
· Data input when placing and receiving orders.
· Data input on excel to be sent quarterly to Department of Health.
· Liaising with overseas clinics on patient’s treatment & care.
Administration duties:
· Contact patients (by phone, email, online portal, post) with any queries they may have, to book appointments, send costs for treatment, charging accounts & handle appropriately.
· General Administration: Scanning, filing, paperwork etc.
· Diary management, making sure payments have been made up to date and appointments are booked correctly.
· Liaising with other clinical teams such as laboratory, nursing, doctors.
Key Job Competencies
This role requires fluency in the English language, if English is not the post-holder’s native language. Strong written and Verbal communication skills are essential for this role
