About Us:
Lois Bridges is a specialized service providing in patient/day & outpatient care for Eating Disorders. We offer comprehensive and coordinated treatment programs for adults, incorporating multidisciplinary treatment which sees collaboration between our psychiatrists, clinical psychologists, assistant psychologists, psychotherapists, psychiatric nurses and peer support workers.
We are currently seeking a dedicated and organized Medical Secretary to join our team and support the smooth operation of our practice.
Key Responsibilities:
  • Scheduling and Coordination: Manage appointments for patients, physicians, and healthcare providers. Coordinate consultations, tests, and follow-up appointments as needed.
  • Patient Communication: Serve as the primary point of contact for patients by answering phone calls, responding to inquiries, and managing patient messages. Ensure efficient and courteous communication with patients and healthcare providers.
  • Medical Records Management: Maintain, update, and organize patient medical records and files in compliance with confidentiality and data protection regulations. Ensure that all patient information is accurate and up to date.
  • Document Preparation: Prepare and process various documents, including referral letters, test results, and medical reports, as instructed by healthcare professionals.
  • Billing and Invoicing: Process and manage medical billing, including insurance claims, patient billing inquiries, and follow-up on outstanding payments.
  • Office Administration: Handle general administrative tasks such as filing, copying, and scanning of documents. Maintain office supplies inventory and manage incoming and outgoing correspondence.
  • Compliance and Confidentiality: Ensure that all patient interactions, documents, and communications are handled with the utmost confidentiality in line with legal and ethical guidelines.
Required Qualifications and Skills:
  • Proven experience as a Medical Secretary, Administrative Assistant, or similar role in a healthcare setting.
  • Proficiency in medical terminology and the ability to understand and process clinical information.
  • Excellent organizational and time management skills.
  • Strong communication skills with the ability to communicate effectively with healthcare professionals, patients, and external stakeholders.
  • Ability to work independently and in a team environment.
  • Knowledge of electronic health records (EHR) systems and Microsoft Office Suite (Word, Excel, Outlook).
  • Attention to detail and high level of accuracy in administrative duties.
Preferred Qualifications:
  • Certification in medical administration or healthcare-related field is preferred.
  • Experience working in a fast-paced medical environment .
