Senior Administrator of Academic and Professional Programmes

The Assistant to the Head of Academic and Professional Programmes has overall responsibility for the coordination, management and smooth operations of the training programs conducted in Clanwilliam. The role is central to the academic functioning of the Faculty, and involves ongoing communication with various internal departments. The role centres on educational standards and high quality service to all learners and staff. The ideal candidate will have a strong background in administration and be confident in supporting training department needs. The focus of the role is to work alongside trainers in the department to facilitate the administration and organization related to training activities.
JOB RESPONSIBILITIES:
- Collaborate with trainers in the training department to ascertain their needs for training administration.
- Assist with the booking of external trainers, additional seminars and additional workshops for the programmes and CPD.
- Book internal training rooms and manage the training schedule. Communications regarding timetables, deadlines, etc
- Involvement in all preparations and preparatory meetings, graduation ceremonies, etc.
- Send out training invitations to relevant team members and department managers.
- Monitor the training budget.
- Recording of minutes for all staff and faculty meetings
- Allocate certificates upon completion of training.
- Keep track of the training matrix to ensure training does not lapse or become outdated.
- Keep personnel’s training information up to date on the computer system. Maintenance of accurate learner data and subject details in student database in line with Faculty deadlines. Maintaining all records in respect of Deferrals/Terminations/Change of Course
- Liaise with external training providers to onboard them as certified trainers, and obtain all relevant paperwork such as insurance, etc.
- Ensure neat, tidy, and well-organized filing of training information.
- Coordinate Moodle contents, engagement, etc.
- Minimum of 2 years of previous experience in a similar role
- Strong understanding of administrative processes
- Ability to communicate with internal and external team members
- Strong communication skills, both written and verbal
- Good interpersonal skills with the ability to build strong relationships
- Good listening skills, with high levels of attention to detail
- Strong working knowledge of Microsoft Office platforms, Moodle, e-learning concepts
- Ability to multi-task and prioritize own workload
- Proactive in approach and detail oriented.
- Must be legally entitled to work full time in Ireland for any employer.
- 21 days of annual leave entitlement (with full time engagement or prorated)

Pay: €30,000.00-€35,000.00 per year
