Senior Coordinator Financial Operations

Vendor Invoice Management & Master Data Maintenance [Coordination + Back-up]
- Assist in managing supplier invoices, including verification, indexing, and uploading into the ERP system.
- Ensure accuracy by cross-checking against PO’s and master data.
- Facilitate obtaining necessary approvals for invoice booking.
- Collaborate with internal stakeholders and suppliers to address invoice discrepancies.
- Reconcile supplier statements with ERP records and respond to supplier queries.
- Oversee updates to the vendors master data in accordance with internal procedure.
- Handle business expenses and travel costs charged to company credit cards, ensuring compliance with company policies.
- Verify and book expenses into the ERP system and clear personnel/vendor accounts.
- Manage requests for new corporate credit cards and administrate related platforms.
- Process and verify staff expenses, including travel and per diem claims, ensuring they meet company guidelines.
- Prepare documents for approval and payment.
- Download and book monthly crew per diem expenses in the ERP system.
- Assist in various departmental tasks and projects as assigned by the manager.
- Proactively contribute to process improvements.
- Maintain procedures and process documentation.
- Liaise with the Compliance department on related matters to ensure adherence to guidelines.
- Identify opportunities for process improvements and implement solutions to enhance efficiency.
- Take initiative in proposing and driving changes to streamline workflows.
- Collaborate with team members to develop and refine best practices.
- Monitor and evaluate the effectiveness of implemented changes.
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Minimum of 3 years of experience in a similar role, preferably within an international commercial organization.
- Proficiency in Microsoft Office Suite, particularly Excel. Experience in SAP is advantageous.
- Strong understanding of financial processes and accounting principles.
- Excellent analytical skills with the ability to identify issues and propose effective solutions.
- Detail-oriented with a high level of accuracy in work.
- Strong verbal and written communication skills.
- Adaptable to changing priorities and able to manage multiple tasks simultaneously.
- Fluency in written and spoken English, French will be considered as an advantage.
- Full time position based in Luxembourg
- Flexible working hours in accordance with our collective work agreement.
- A Certificate of good conduct (Casier judiciaire, Polizeiliches Führungszeugnis) will be required in case of positive selection.
