Role Description:
We are seeking a highly organized and proactive Personal Assistant to support our Managing Director. This role is pivotal in ensuring the smooth operation of the Managing Director's day-to-day activities and involves a mix of administrative and personal affairs support duties. The ideal candidate will possess excellent communication and coordination skills, a keen attention to detail, and the ability to handle confidential information with discretion.
Job Responsibilities:
1. Personal Affairs Management:
- Perform other ad-hoc duties when necessary.
- Efficiently assist the Managing Director by managing both personal and professional tasks, including errands, booking appointments ,managing personal schedules, handling personal shopping, and coordinating their calendar for meetings and activities.
- Handle sensitive and confidential information with discretion.
- Arrange travel arrangements including flights, accommodations, transportation and itineraries ensuring it is aligned with the Managing Director’s preferences and business needs.
- Liaise with other internal and external stakeholders/staff, ensuring clear and professional communication when needed.
- Assist in the planning and execution of company events, meetings, and conferences if needed.
- Accompany Managing Director in client entertainment events, meetings and business functions if needed.
- Maintain an organized filing system, ensuring that documents are easily accessible.
- Prepare meeting minutes and report from meetings and business functions for the managing director if needed.
- Perform general office duties to support the Managing Director including photocopying, scanning, and binding documents.
- Provide other administrative support to assist in the business operations.
- Must be Malaysian citizen with a valid driving license and experienced in driving.
- Bachelor’s degree or equivalent experience preferred.
- At least 1 year of proven experience as a Personal Assistant or Executive Assistant.
- Excellent verbal and written communication abilities in English (Ability to speak Chinese is an added advantage)
- Strong organizational and time-management skills.
- Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
- Ability to work independently and manage multiple tasks and projects simultaneously.
- High level of discretion and confidentiality.
- Punctual, polite, with good professionalism and manners.
- The successful applicant will be required to undergo a 3 (three) months probationary period.
