Procurement Executive

Reporting to: Procurement Manager
The Procurement Executive is responsible for managing the purchasing process of goods and services needed for a College's operations. This includes researching suppliers, negotiating prices, and ensuring timely delivery of materials. The role also involves preparing purchase orders, maintaining vendor relationships, evaluating supplier performance, and ensuring that all procurement activities comply with the College’s policies and budget requirements.
Key Responsibilities
- Assist staff and/or department with appropriate choices of standard items to be purchased for offices and laboratories, especially stationery.
- Assist in vendor selection and placing orders.
- Follow up on orders to ensure that materials are shipped and delivered within the agreed timeline.
- Maintain records and follow up on procurement files, shipments, and related matters.
- File maintenance.
- To inspect products received for quality and the correct quantity to ensure adherence to specifications and expectations.
- To assist in booking courses, flights and accommodation for staff training.
- To assist in booking venues, flights and accommodations for school trips and boarding activities.
- To assist in keying invoices into the accounting system –I-Finance and to send remittance advice to suppliers when necessary.
- To process all requested orders in Kiss Flow and to complete within the expected date.
- To assist in stock checks in the Uniform shop for Audit.
- To assist in checking items upon delivery for Uniform Shop.
- Capital projects management.
- Perform related job duties as required.
- The candidate must possess at least a Diploma or Bachelor’s degree in Accounting, Business Administration, Management or a related field.
- Preferably 1-2 years working experience in Procurement / Purchasing.
- Proficient in any Procurement System will be an advantage.
- High proficiency and fluency in both written and verbal English communications.
- Ability to work under pressure to meet reporting deadlines.
- Outstanding interpersonal skills, as well as excellent verbal and written communication skills.
- The candidate must possess integrity, loyalty, caring, patience, assertiveness, and proactive behaviour.
Normal working hours are 8am – 5pm Monday to Friday.
Remuneration and benefits
The remuneration package includes a competitive salary commensurate with the level of experience of the successful candidate. Marlborough will pay for health insurance for you and your eligible dependent/s (if not covered under their own policy). Free of lunch, refreshment in the morning and afternoon.
