Senior Officer, Admin

Head, Airlines Global Marketing
Role Purpose
This position provides the Global Marketing team with dedicated admin and office support in order to help enhance the team's effectiveness, ensure seamless operations, and ultimately drive greater results for the department's marketing efforts.
Key Accountability
  • Provide administrative support to areas within Global Marketing team including but not limited to the following:
  • Duty travel arrangement for the department as well as all related processes including budget tracking.
  • Work with IT to manage and resolve all IT-related requests or queries.
  • Arrangement on learning & development or training requirements for the department.
  • Onboarding for all new joiners including management of access, IT and related matters.
  • Prepare letters, documentation, memos or circulars as requested by Head of Airlines Global Marketing.
  • SAP related tasks (raise Purchase Requests, Sales Order, Payment Vouchers).
  • Responsible for record keeping and inventory management of Global Marketing's stationeries and merchandizes.
  • Coordinates logistics for meetings and events, including room or venue booking, catering, schedule management for Head of Airlines Global Marketing.
  • Responsible for document and contract management for the department including being an administrative user of Docusign and other software or tools.
  • Works closely with other administrative staff and supports other colleagues as needed.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with all internal and external policies and regulations.
Qualifications & Working Experience
  • Possesses a Diploma in any discipline with 1 year of working experience or;
  • At least a STPM/SPM holder with 3 years working experience.
Personality Traits
  • Strong verbal and written communication skills as well as proficiency with computers, especially MS Office.
  • Must be meticulous in details and process-driven.
  • Must be able to anticipate challenges and issues and proactive in solving them.
  • Highly adaptable and agile in meeting changing priorities.
  • Ensures deadlines are met.
