RESPONSIBILITIES
  • Oversee day-to-day office functions, ensuring all operations are running smoothly and efficiently.
  • Maintain office supplies inventory and oversee procurement, ensuring cost-effectiveness and proper resource allocation.
  • Manage vendor relationships, negotiate contracts, and ensure timely acquisition of supplies and services.
  • Supervise office space management, including seating arrangements and equipment setup, while ensuring workspace cleanliness and organization.
  • Coordinate maintenance, repairs, and facility improvements in collaboration with relevant service providers.
  • Oversee staff scheduling, timekeeping, and leave management, ensuring adequate coverage and alignment with operational needs.
  • Coordinate staff onboarding and training for new administrative employees, promoting continuous development and high-performance standards.
  • Foster a positive, collaborative work environment and encourage team engagement and morale-building activities.
  • Prepare and manage the administrative budget, monitor expenditures, and report on financial performance to senior management.
  • Ensure all department purchases and expenses stay within budget, identifying opportunities to optimize costs.
  • Work with the finance department to facilitate timely reconciliation of expenses and provide accurate financial reporting.
  • Develop, implement, and maintain office policies and procedures to improve efficiency and service quality.
  • Identify areas for process improvements and implement strategies to streamline administrative tasks, utilizing technology where possible.
  • Lead office initiatives for process automation, workflow optimization, and document management systems.
  • Establish metrics for office performance and regularly review to ensure goals are being met and standards are maintained.
  • Ensure compliance with company policies, health and safety regulations, and legal requirements for office administration.
  • Maintain organized records and filing systems, both electronic and physical, ensuring secure, confidential, and easily accessible data management.
  • Monitor compliance with organizational policies and procedures, providing training and guidance as necessary.
  • Act as a central point of communication between departments, facilitating efficient flow of information and collaboration.
  • Organize and coordinate meetings, company events, and other activities, providing administrative support as needed.
  • Prepare and distribute internal communications, ensuring consistency and clarity.
Qualifications:
  • Bachelor’s degree in Business Administration, Management, or a related field
  • 5+ years of experience in office administration or management, with proven leadership skills.
  • Proficiency in office management software, including Microsoft Office Suite and project management tools.
  • Strong knowledge of office management processes, budget management, and vendor relations.
  • Excellent written and verbal communication skills, with the ability to present information clearly.
  • Strong organizational and multitasking skills, with a high level of attention to detail.
