Job Description/Requirements
The African Medical Centre of Excellence will be implemented in four phases over a six-year period, starting with a 170-bed specialist hospital before expanding to a 500-bed facility. The centre will have the potential to provide services to over 200,000 patients in Nigeria and a further 150,000 patients from neighbouring West African countries within its first five years of operation.
The clinical areas the centre will specialise in are Cardiology, Haematology and Oncology. A range of businesses providing relevant health support will support this facility and provide commercial services to its patients and staff, thus creating a healthcare ecosystem sustainably designed to deliver long-term value to its community and region.
Job Summary
We are seeking a highly skilled and experienced Senior Protocol Officer to join our Hospital & Health Care organization. As a Senior Protocol Officer, you will play a vital role in ensuring efficient and effective communication and coordination among different departments, stakeholders, and external parties. Your exceptional protocol management skills, attention to detail, and ability to handle sensitive information with utmost confidentiality will be crucial in maintaining our high-quality standards and reputation in the industry.
The Senior Protocol Officer plays a crucial role in maintaining diplomatic etiquette, managing high-level visits, and ensuring smooth protocol operations within the organization. This position is responsible for overseeing all protocol-related matters, providing expert advice, and fostering positive relationships with internal and external stakeholders.
Responsibilities
The Senior Protocol Officer is responsible for developing, implementing, and managing the protocols and procedures necessary for the smooth operation of hospital events, ceremonies, and official functions. This role requires close coordination with internal departments, staff, and external stakeholders to ensure that all protocol-related activities adhere to the highest standards. The Senior Protocol Officer will also provide guidance and training to staff, manage diplomatic relations, and oversee the logistics and organization of high-profile events and visits.
Protocol Development and Management:
- Develop, implement, and maintain comprehensive protocols and procedures for various hospital events, ceremonies, and official functions, considering the multicultural and international context of the African Medical Centre of Excellence Hospital.
- Regularly update protocol manuals to reflect current guidelines, procedures, and contact information, with particular attention to the diplomatic and visa requirements of international personnel and visitors.
- Serve as the primary liaison with government agencies, embassies, and consulates to coordinate protocol activities, manage diplomatic privileges, and handle special requests for international personnel and high-profile visitors.
- Ensure compliance with diplomatic norms, including the processing and management of visas, work permits, and other necessary documentation for international staff and dignitaries.
- Coordinate with internal departments, international stakeholders, and external partners to ensure the smooth execution of protocol-related activities, particularly those involving foreign dignitaries, international partners, and visiting medical experts.
- Assist in organizing and overseeing high-profile events, ensuring strict adherence to established protocols and considering the diplomatic sensitivities involved.
- Plan and execute protocol arrangements for high-level visits, including developing itineraries, coordinating logistics, and ensuring security compliance, with a focus on the needs of international visitors and staff.
- Oversee the management of travel and visa arrangements for senior staff and international visitors, including budgeting, scheduling, and logistics, ensuring that all arrangements comply with diplomatic and organizational requirements.

- Develop and deliver protocol training programs tailored to the multicultural environment of the hospital, ensuring that staff at all levels are equipped to handle protocol matters involving foreign dignitaries and international partners.
- Organize and oversee official ceremonies, such as credential presentations, signing ceremonies, and other formal events, ensuring that all aspects are conducted in accordance with established protocols and diplomatic norms.
- Coordinate with relevant authorities to manage the accreditation process for diplomats, officials, and international staff members, including the handling of necessary documentation and adherence to visa requirements.
- Conduct research to stay informed about industry trends, regulations, and cultural sensitivities relevant to protocol management, particularly in the context of international relations and visa requirements.
- Draft and review official correspondence of a protocol nature, ensuring adherence to diplomatic standards and the specific needs of the hospital’s international operations.
The Senior Protocol Officer must maintain excellent communication and working relationships with:
- Senior management and executives
- Government officials and diplomats
- Internal departments, including Security, Executive Management, and Communications
- External stakeholders, including embassies and international organizations
- Junior protocol staff and interns
Degree or equivalent in relevant experience (Public Relations, Communications, International Relations, or a related field)
Evidence of commitment to continuing professional development
Experience
Proven experience as a Protocol Officer or in a similar role within the healthcare industry or related industry
In-depth knowledge of protocol-related practices, procedures, and etiquette.
Outstanding organizational and multitasking abilities, with strong attention to detail.
Proficient in handling confidential information and maintaining discretion.
Strong research and analytical skills to stay updated with relevant industry trends and regulations.
