Assignment Description

• Onboarding and Follow-up of Newly Arrived Personnel
• Responsible for practical guidance, coordinating onboarding, and follow-up of personnel upon arrival at the yard.
• This includes competency checks, coordination with the welding school, project familiarization and more.
• Provide practical guidance for new personnel regarding meeting locations, locker room facilities, key distribution for lockers, luggage storage upon arrival and departure, and other amenities.
• Serve as a liaison between the resource department, construction, prefab, and the project team.
• Organize the onboarding process for hired personnel, including assisting with registration (activating/deactivating) in the HR system and ensuring safety trainings are completed.
• Provide newly arrived personnel with necessary information about competency requirements, entry procedures, meeting times/locations.
• Inform employees about locker room facilities, break rooms, canteen, and parking options. Assign keys to locker cabinets.
• Follow up with personnel who lack or have defective required safety equipment.
• Verify that personnel have the required competencies, courses, and certifications, including HSE training, compliance courses, and project-specific familiarization courses, before they are permitted to start work.
• Coordinate training at the welding school for personnel who require it, ensuring they complete the necessary training.
• Act as a liaison between the resource coordinator and project and site management.
• Together with resource coordinators and training coordinators, ensure that all personnel information, course participation, and competencies are accurately registered in the company's systems.
• Report and follow up on missing competencies, course certificates, and certifications, ensuring necessary actions are taken.

Qualifications

• Strong communication skills and the ability to convey important information to new employees.
• Proficient in English and Scandinavian languages.
• Experience in course administration and competency systems, as well as personnel follow-up.
• Knowledge of HSE requirements and procedures.
• Familiarity with the shipyard and supplier industry.
• Service-oriented with the ability to communicate clearly with personnel at all levels.
• Structured and solution-oriented with the ability to handle multiple tasks simultaneously.
• Strong collaboration skills and the ability to serve as a liaison between different departments.
