Job Overview:
We are seeking a highly organized and proactive Design Execution Lead to support the Head of Book Designs in overseeing the execution of visual assets and ensuring design projects are delivered on time and to the highest standard. The successful candidate will manage the workflow of illustrators and graphic designers, coordinate asset acquisition and organization, and ensure compliance with copyright laws. This role is critical in maintaining the smooth operation of the design and illustration department, with a focus on quality control, asset management, and efficient project delivery.
Key Responsibilities:
Image Asset Management & Copyright Compliance

• Copyright Verification: Verify the copyright status of all image assets used in book illustrations to ensure compliance with intellectual property laws.
• Asset Organization: Maintain an up-to-date catalogue of image assets, including metadata such as licensing and usage rights.
• Asset Acquisition Support: Assist in sourcing and acquiring image assets, coordinating with vendors, illustrators, and other stakeholders to ensure timely delivery.

Illustration & Design Workflow Support

• Project Timeline Monitoring: Track and manage deadlines for illustrators, reporting any delays or challenges to the Head of Book Designs.
• Policy Adherence: Ensure that illustrators and graphic designers comply with company policies, particularly regarding the use of copyrighted materials.
• Brief Review: Check project briefs to verify that illustrators fully understand and meet project specifications.
• Issue Flagging: Proactively identify and address any copyright concerns before final production.

Graphic Design & Asset Coordination

• Asset Distribution: Coordinate the download and distribution of assets for graphic designers working on complex book designs.
• Centralized Asset Management: Oversee a central repository of image and design assets for easy access and proper organization.

Training & Process Development

• Training Program Development: Develop and implement training materials and process documentation to improve department efficiency and ensure best practices are followed.
• Process Optimization: Identify bottlenecks and inefficiencies within department workflows, working with the Head of Book Designs to implement solutions.

Qualifications:

• Experience: 3+ years in an administrative, project management, or coordinator role, ideally in a creative or design-focused environment.
• Skills:
• Strong organizational skills with attention to detail.
• Excellent knowledge of image rights and copyright compliance.
• Familiarity with asset management systems and cataloguing processes.
• Strong communication skills, capable of working with illustrators, designers, and external partners.
• Proficiency in project management and time tracking software (e.g., Monday, MS One Drive/Teams).
• Understanding of graphic design or book publishing processes is a plus.
• Education: Bachelor’s degree in design management, business administration, publishing, or a related field preferred.
