Project Officer

As part of the program team, and in coordination with project, the Project Officer will support the planning and implementation of all project activities consistent with approved program designs and strategies. S/he will be responsible for maintaining all program files, information/ database, in both hard and soft form, as per CARE and donors’ policies. The Project Officer will support the program team in performing desk reviews, editing reports/ concept papers, raising purchase requisitions, proofreading documents, and keep track of CARE’s engagement related activities. In addition, the Project Officer will follow up with the local partners about narrative reports, case studies and other relevant documents. The Project Officer will also support in the field.
- Daily Partner Engagement: Actively liaise with local partners and CARE project staff to align on daily and weekly tasks, ensuring consistent support for the project's operational needs.
- Work Plan Updates: Regularly review and update the project work plan and budget documents, ensuring alignment with the latest project priorities and objectives.
- Implementation Facilitation: Support the Senior Project Manager in tracking activity progress, identifying any delays or obstacles, and providing prompt solutions to keep the project on course.
- Administrative Management: Oversee routine administrative tasks, including organizing files, maintaining records, and ensuring that documentation is correctly saved, labeled, and easily accessible.
- Field Visit Execution: Schedule and conduct need-based field visits, capturing detailed insights into the on-ground implementation of activities, and documenting trip findings to inform project improvements.
- Field Report Preparation: Compile and deliver structured trip reports post-visit, detailing observations, achievements, potential challenges, and recommended next steps for enhanced project delivery.
- Activity Verification: Ensure project activities comply with outlined strategies and standards, assessing quality and identifying opportunities for procedural or quality improvements.
- Relief Delivery Oversight: Monitor relief work efforts, pinpointing any shortfalls in delivery, and initiating discussions with the team to implement corrective actions where needed.
- Comprehensive Record-Keeping: Manage and regularly update both hard and soft copies of project documents, following CARE’s and donor’s policies for documentation compliance.
- Report Generation: Assist in producing accurate and comprehensive monthly, quarterly, and annual reports, consolidating information to reflect project impacts, lessons learned, and areas for improvement.
- Success Story Documentation: Identify, draft, and organize success stories that highlight project outcomes and significant achievements, ensuring these are prepared for use in donor reporting and internal communications.
- Program Learning Capture: Work with field teams to document insights from activities, creating a repository of learnings that can inform future project decisions and refinements.
- Coordination of Project Meetings: Organize and facilitate regular project-related meetings with internal and external stakeholders, ensuring agendas are set, discussions are focused, and follow-ups are executed on action items.
- Effective Stakeholder Communication: Build and maintain communication with stakeholders, responding to queries, sharing timely updates, and ensuring transparency on project status and impacts.
- Preparation of Communications Materials: Collaborate with the Communications Unit to develop regular project updates, success stories, and impact highlights, ensuring alignment with CARE’s branding and messaging standards.
- Cross-Departmental Collaboration: Act as a liaison between the project and other departments (e.g., finance, HR) to streamline support for project needs and ensure integrated teamwork.
- Best Practice Research: Conduct research to gather insights on global best practices related to education access, inclusion, and project management, identifying strategies that can benefit project outcomes.
- Knowledge Documentation: Support the systematic capture of knowledge on what works and what doesn’t during the program period, creating a reference for continual learning.
- Innovative Program Approaches: Analyze and recommend innovative solutions that address project challenges, sharing findings with project leadership to inform strategy adjustments.
- Content Development for Updates: Assist field teams in generating bi-monthly content for internal updates, contributing to a clear and accurate record of project progress, challenges, and achievements.
- Any other tasks or responsibilities based on organizational and programming needs as assigned by the Line Manager.
Required
- Bachelor’s degree in Social Science, International Development, Humanitarian Studies or related field.
- Master's degree in related field.

Minimum 2 – 4 years of working experience in the humanitarian sector particularly Education sector with reputable INGOs/NGOs.

Experience in record-keeping, writing and editing reports/ concept notes etc.
