Position Overview:
We are seeking a detail-oriented and motivated Legal Assistant to join our team. The ideal candidate will have strong organizational skills, excellent communication abilities, a positive attitude, and a passion for the legal field.
Key Responsibilities:
- Perform all functions related to receiving calls, clients, vendors and deliveries and direct them to appropriate individual(s) within the Firm.
- Assist with conflict checks and matter opening utilizing Firm software.
- Receive and record oral information from telephone callers or in person, and then communicates it to appropriate individual(s) within the Firm.
- Operate a multi-line telephone console in order to relay incoming, outgoing and intra-system calls.
- Direct telephone calls to appropriate individual(s) within the Firm. Screen calls to mitigate cold calls for attorney and staff where appropriate.
- Meet and greet clients and visitors to the law office and ensures proper clearance and routing of such parties in accordance with Firm policies; notify supervisor of difficult or unique situations in person or during phone calls.
- Receive and record deliveries to the Firm and/or individuals in the Firm and routes them accordingly to the proper recipient.
- Monitor and order office supplies as needed.
- Assist with runner duties as needed.
- Schedule and coordinate meetings with clients.
- Communicate with clients, witnesses, and other parties involved in legal proceedings.
- Perform general administrative duties, including answering phones and managing office supplies.
- Perform other general office matters as may be requested by supervisors.
- Ability to read and write at a level normally acquired through the completion of high school or GED in order to process informational messages.
- Proven experience as a Legal Assistant or in a similar role.
- Knowledge of legal terminology, procedures, and documentation.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point) and legal research tools.
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- Exceptional written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to type 40 + WPM.
- Ability to operate standard office equipment including personal computer, calculator, photocopier, printer, and telephone.
- Work occasionally requires a high level of mental effort and strain when answering a high volume of telephone calls and performing other essential duties.
- Ability to organize and prioritize tasks to complete within time constraints is crucial.
- Work may require irregular hours, and occasionally requires more than the established office hours per week to perform the essential duties of the position.
- Requires prolonged sitting, some bending, stooping and stretching.
- Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
- Requires normal range of hearing and eyesight to record, prepare and communicate appropriately.
- May need to climb stairs and lift up to 25 pounds.
- Salary is $20 per hour with the ability to start at more based on experience and capability.
