Administrative Assistant
Key Responsibilities:
Office Management:
  • Organize and maintain files, documents, and records.
  • Manage office supplies inventory and order as needed.
  • Ensure the office environment is well-maintained and organized.
Pantry Organization:
  • Maintain and organize the pantry, ensuring it is clean and stocked with necessary supplies.
  • Monitor inventory levels of snacks, beverages, and kitchen supplies, placing orders as needed.
  • Implement a system for tracking expiration dates and managing perishables.
Payroll and Attendance Assistance:
  • Support the payroll process by collecting and verifying timesheets and attendance records.
  • Assist in maintaining accurate employee attendance data and reporting any discrepancies.
  • Help prepare payroll documentation and ensure compliance with company policies.
Communication:
  • Answer and direct phone calls and emails professionally.
  • Prepare and distribute internal and external communications.
  • Assist in scheduling meetings and appointments.
Scheduling and Coordination:
  • Coordinate calendars for team members and arrange meetings.
  • Prepare agendas and take minutes during meetings.
  • Assist with travel arrangements and itineraries.
Data Management:
  • Input, update, and maintain data in spreadsheets and databases.
  • Generate reports and summaries as required.
  • Ensure confidentiality and security of sensitive information.
General Administrative Support:
  • Perform clerical duties such as filing, copying, and scanning documents.
  • Maintain an organized system for paperwork and digital files.
  • Assist with other administrative tasks as required.
Job Type: Full-time
Schedule:
  • Day shift
Supplemental Pay:
  • 13th month salary
Ability to commute/relocate:
  • Mandaluyong: Reliably commute or planning to relocate before starting work (Required)
