-Managing the executives schedule, including setting up meetings, appointments, and travel arrangements.
-Monitoring and managing the executive's emails, drafting and responding to correspondence on behalf of the executive, and ensuring timely communication.
-Preparing, proofreading, and editing documents, reports, presentations, and other materials for the executive.
TRAVEL MANAGEMENT:
-Booking flights, hotels, and transportation for business trips, as well as preparing itineraries and handling travel-related issues. Also responsible for application of VISA.
-Handling expense report, processing reimbursements, and managing the executive's budget for travel and other expenses.
RELATIONSHIP MANAGEMENT:
-Acting as a point of contact between the executive and internal teams, clients, co-franchisees, franchisees and other external partners.
-Helping the executive maintain and build relationships by coordinating events, meetings, gift giving and follow-up activities.
OFFICE MANAGEMENT:
-Managing executive's office, including ordering supplies, handling office maintenance issues, and ensuring a smooth operation.
-Organizing and coordinating corporate events, conferences, meetings, and team-building activities.
CONFIDENTIALITY AND DISCRETION:
-Managing confidential information with the utmost discretion, including handling sensitive business matters and personal details.
PERSONAL ASSISTANCE:
-Running personal errands and managing the executive's personal calendar and appointments.
-Assisting family-related matters such as travel arrangements, event couturier, and other personal tasks.
CRISIS MANAGEMENT:
-Being flexible and adaptable to changing priorities and unexpected situations.
TECHNOLOGY AND TOOLS MANAGEMENT:
-Ensuring that the executive's devices and systems are up-to-date and functioning properly.
INFORMATION AND FINANCIAL MANAGEMENT:
-Assisting with the preparation of budgets, and forecasts, as well as monitoring expenses, credit cards to ensure alignment with the budget.
-Organizing, maintaining, and safeguarding important documents, files, and data for easy retrieval and reference.
Qualifications:
-Must be a graduate of business-related courses.
-Must have an experience as an Executive Secretary for at least 2 years.
-Manages time effectively and efficiently.
-Can cope and handles pressure.
-Can multitask.
-With good written and communication skills.
