The Department Secretary provides secretarial and administrative support for one or more of the organization's executives and Accounting & Finance Department. Plans and organizes executive office schedule, meetings, and appointments.
Essential Functions:
  • Provides high level of secretarial and administrative support for one or more of the organization’s executives, requiring discretion, confidentiality.
  • Manages the executive’s appointments, schedules, and answer or redirect routine enquiries from internal or external sources.
  • Prepares documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone call; drafting letters and official information releases; arranging meetings; taking and distributing minutes.
  • Gathers, compile, verify, and analyze information for the executive to use in documents such as memos, letters, reports, speeches, and presentations.
  • Monitors, reviews and scrutinize documents that needs the approval of the executive.
  • Facilitates smooth communications between the executive and other executives, managers, and employees; and between the executive and external parties such as key bank personnel.
  • Coordinates across organization in resolving day- to-day administrative issues and concerns as required by the executive office.
  • Handles confidential information and maintain the security of the executive’s records and files.
  • Provides administrative support function to finance operation such as:
  • Maintains an updated record of BOC importation details for the executive’s file
  • Monitors the exchange rates, forward rates and NAVPU rates of selected banks on a regular basis
  • Assists the Treasury Supervisor in the preparation and updating of bank documents
  • Ensures that SOAs of corporate credit cards are received and acquired approval for payment
  • Process flight bookings for Sales’ local trips
Qualifications:
  • Graduate of Business Administration, Office Management or any business course
  • 2 years work experience in the given field
  • Experienced in office procedures/administration and use of office equipment
  • Ability to communicate accurately and clearly both orally and in writing
  • Ability to meet deadlines and demonstrate effective time management skills
  • High confidentiality, tact and discretion when dealing with people
  • Systematic and organized
  • Advance level for Microsoft Office Applications is an advantage
Job Type: Full-time
Pay: From Php25,000.00 per month
