Executive Assistant with German

Role Objective
The role is to provide comprehensive administrative and organizational support to Bain Partners, who are responsible for bringing in new clients and managing the work of Bain consulting project teams. We are looking for someone with a positive, ‘can do’ attitude and excellent communication and interpersonal skills, who has the ability to forge strong and successful working relationships without face-to-face interaction. As an Executive Assistant, you will be required to make decisions that can have a considerable impact on business. In order to be able to do that, you would need to work closely with supported Partners and have an excellent understanding of their priorities and external client network. In addition, you will be joining a fantastic team of driven and ambitious individuals, where frequent communication and collaboration with other EAs is critical to achieving success. We work hybrid - your regular presence in Warsaw office will be required.
Key responsibilities and Activities
As an Executive Assistant, you will support our Partners in the following areas:
Meetings
- Successfully and proactively managing complex and ever-evolving diaries
- Proactively recognizing the impact of a shift in priorities and taking the necessary actions to reschedule, consistently and often at short notice
- Identifying the priorities and suggesting meetings/calls to fulfil our clients’ needs
- Prioritizing and editing all incoming communication
- Working with our travel company to coordinate sophisticated travel itineraries
- Administering timely procurement of visas and other travel documentation
- Proactively pre-empting travel plans

- Building and maintaining cooperative relationships with clients and colleagues at all levels both internally and externally
- Maintaining Partner contact database in Outlook and CRM
- Leading and coordinating Partner’s marketing activity
- Having a full and thorough understanding of your Partners’ cases and priorities
- Being the go-to-person for case team and practice area members to ensure smooth communication and coordination processes
- Providing logistical and technical support for all meetings, conferences, and workshops, using Power Point, Word, Excel, and online research
- Processing time and expense submissions
- Running bank statement reconciliation and processing foreign currency receipts in an accurate and timely manner

- Excellent written and spoken German and English language skills at C1 level
- At least 2 years of previous experience as either Executive or Personal Assistant in a demanding environment supporting partners, directors, or management board members
- Desirable BA / Master's degree
