About Us:
(YM)COUTURE is a leading clothing design and manufacturing company based in Loulé, Portugal, known for our luxury fashion and bespoke designs. We are seeking an experienced and highly organised PA/Admin Assistant to provide dedicated support to our CEO and assist with general administrative tasks across the company.
The ideal candidate will be fluent in English and Portuguese, with proficiency in French or Spanish being a strong advantage.
Job Description:
As the PA/Admin Assistant to the CEO at (YM)COUTURE, you will be the right hand to our CEO, ensuring her schedule is efficiently managed and supporting her in various executive tasks.
Additionally, you will handle a variety of general administrative responsibilities that contribute to the smooth operation of our office. This role requires a proactive and adaptable individual with excellent organizational skills and the ability to manage multiple tasks and priorities.
Key Responsibilities:
  • Provide direct administrative support to the CEO, including managing her calendar, scheduling meetings, and coordinating travel arrangements.
  • Handle all incoming and outgoing communications on behalf of the CEO, including emails, phone calls, and correspondence, in English, Portuguese, and ideally in French and/or Spanish.
  • Prepare and edit documents, presentations, and reports for the CEO and other executives as needed.
  • Assist the CEO with project management, ensuring deadlines are met and tasks are completed efficiently.
  • Coordinate and organise meetings, including preparing agendas, taking minutes, and following up on action items.
  • Manage confidential and sensitive information with the utmost discretion and professionalism.
  • Perform general administrative duties, such as managing office supplies, processing expenses, and supporting HR-related tasks.
  • Liaise with internal teams and external partners to facilitate communication and collaboration across different departments and countries.
  • Assist with event planning and coordination for company meetings, conferences, and fashion events.
  • Support other members of the executive team with administrative tasks as required.
  • Perform other related duties as assigned, ensuring the smooth operation of the office and support for the CEO.
Qualifications:
  • Proven experience as a PA, Executive Assistant, or Administrative Assistant, with a focus on supporting senior executives, preferably in the fashion or manufacturing industry.
  • Fluent in English and Portuguese, with excellent written and verbal communication skills in both languages.
  • Proficiency in French or Spanish is highly desirable.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and other relevant software.
  • Discretion and confidentiality in handling sensitive information, with a high degree of professionalism.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • A proactive and flexible approach to work, with the ability to adapt to changing priorities and support multiple stakeholders.
