Portfolio Manager

The Portfolio Manager is a leadership role responsible for overseeing the performance, delivery, and execution of multiple projects within a defined portfolio. Reporting directly to the Delivery Director, the Portfolio Manager ensures that all projects are aligned with client expectations, delivered on time, within budget, and meet the required quality standards. In this role, you will manage Project Managers, drive collaboration between technical and business teams, and ensure seamless project execution that supports the company’s growth strategy.
Key Responsibilities:
1. Portfolio Oversight:
- Manage a team of Project Managers responsible for executing individual projects within the portfolio
- Ensure that all projects are delivered on time, within budget, and meet or exceed client quality expectations
- Implement and monitor portfolio-level KPIs, SLAs, and other performance metrics to ensure consistent delivery excellence
- Oversee the progress of projects, proactively identify risks, and work with project managers to resolve issues swiftly
- Work closely with the Delivery Director to align portfolio delivery strategies with the company’s overall goals
- Provide regular portfolio performance updates to senior leadership, highlighting progress, risks, and improvement opportunities
- Collaborate with cross-functional teams (Sales, Business Development, Recruitment, People, Technical Teams) to ensure portfolio alignment with business objectives and resourcing needs
- Optimize resource allocation across projects to ensure that all are adequately staffed with the right skills and capacities
- Collaborate with Recruitment to support hiring and onboarding of new team members based on project needs
- Ensure the effective utilization of project resources, balancing workloads and prioritizing tasks to meet deadlines
- Lead regular reviews of project status across the portfolio to ensure adherence to scope, budget, and timeline
- Act as a point of escalation for project managers, helping them resolve complex issues and removing obstacles
- Conduct post-project reviews to identify lessons learned and implement continuous improvement practices across the portfolio
- Maintain strong relationships with key clients, acting as a senior point of contact for escalated delivery issues within the portfolio
- Ensure clear and proactive communication with both internal and external stakeholders, managing expectations and addressing concerns before they escalate
- Support client retention efforts by ensuring project satisfaction and driving successful project outcomes
- Foster a culture of continuous improvement across project teams by implementing best practices, refining processes, and adopting new tools
- Collaborate with the Delivery Director to update and adapt delivery frameworks and methodologies that enable efficient scaling and enhance delivery quality
- Stay updated on industry trends and apply relevant innovations to the company’s delivery processes
- Identify and manage risks at both the project and portfolio level, ensuring effective mitigation strategies are in place
- Oversee the consistent application of risk management processes by project managers
- Ensure that financial risks are managed effectively, keeping projects within budget while optimizing profitability
1. Leadership & Team Management:
- Proven experience in leading, mentoring, and developing teams of Project Managers
- Ability to manage multiple projects simultaneously, ensuring alignment with organizational goals
- Capable of fostering a high-performance culture, emphasizing accountability and continuous learning
- Strong understanding of delivery methodologies (Agile, Scrum, Waterfall) with experience managing multi-project portfolios
- Expertise in overseeing complex projects, including budget control, resource allocation, and timeline management
- Experience managing a multi-client portfolio, working across different industries and geographies
- Excellent interpersonal and communication skills, able to articulate complex project data to both technical and non-technical stakeholders
- Ability to work effectively with senior leadership, technical teams, sales, and business development to align goals and expectations
- Strong negotiation and relationship-building skills, particularly in client-facing roles
- Strong analytical skills with the ability to monitor portfolio performance metrics and implement improvements
- A commercial mindset, understanding the importance of aligning portfolio management with business growth strategies
- Ability to balance short-term delivery needs with long-term organizational growth goals
5. Adaptability and Problem-Solving:
- Highly adaptable, capable of adjusting strategies in response to shifting priorities or unexpected challenges
- Proficient in solving complex problems quickly and efficiently, using data-driven insights to inform decision-making
- Solid understanding of software development processes and the technical aspects of product delivery
- Ability to work closely with technical teams to ensure project feasibility and maintain technical excellence throughout delivery
