Coordinator/Senior Coordinator - Administrative Support

Your expertise in organization and communication will play a vital role in streamlining processes and enhancing productivity across departments.
Responsibilities
- Administrative Support: Providing assistance and support to Legal Counsels in the department, including managing calendars, scheduling meetings, preparing documents, and handling correspondence.
- Record-Keeping and Document Management: Maintaining accurate and organized records of legal documents, contracts, filings, and other important materials, Involve creating and maintaining filing systems, digital databases, and document management platforms.
- Budgeting and Financial Management: Assisting with financial matters related to the department, such as monitoring budgets, processing invoices, tracking expenses, and coordinating with the finance or accounting team.
- Resource Management: Managing department resources, including office supplies, equipment, software, and subscriptions. This may involve procurement, inventory management, and coordinating with relevant vendors.
- Communication and Coordination: Facilitating effective communication within the department and with external stakeholders. This can include managing internal communications, coordinating meetings and events, and serving as a point of contact for inquiries or requests.
- Project Coordination: Supporting the coordination and administration of legal projects, including tracking project timelines, milestones, and deliverables.
- General Administrative Tasks: Handling day-to-day administrative duties, such as managing incoming and outgoing correspondence, coordinating travel arrangements, processing expense reports, and maintaining departmental calendars.
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum 1 years of experience in administrative support or coordination roles.
- Strong organizational and multitasking skills with a keen attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
- Ability to work collaboratively in a team environment while also being able to operate independently.
- Problem-solving skills and the ability to adapt to changing priorities.
- Strong sense of discretion and confidentiality in handling sensitive information.
- Experience with project management tools/software is a plus.
- Experience with Invoices.
- Positive attitude and a strong commitment to providing exceptional support.
