This position will play an integral role within a new Strategic Meetings Pharma client Congress & Events Team.
What We're Looking For:
Experienced congress/event meeting planner preferably with Pharmaceutical Congress & Meetings Team - MINIMUM 5 YEARS
Self-confidence and self-driven, positive attitude. Ability to navigate in changing environment.
Fluency in written and spoken Spanish and good communicative skills in English
Excellent project management skills and able to handle several different events at any one time. Must be flexible and able to work under certain pressure.
In-depth knowledge and experience of working within Pharmaceutical industry – Brand Team, therapy areas, regulatory restrictions would be beneficial
Knowledge and experience of working with Pharmaceutical Congress Housing Bureaus understanding the nuances around the point system depending on company ranking, sponsorship levels etc.
Strong ability to interact with clients at a meeting level & key contact level when needed.
Strong financial acumen including use of excel, production of complex budgets etc.
Previous knowledge and experience of Cvent would be useful.
Excellent oral and written communication skills and presentation is crucial.
Ability to deal and communicate effectively with all stakeholders including customers (KOLs, HCPs, Speakers) at all levels with confidence and credibility.
Demonstrated ability to analyze situations, negotiate and make decisions in a fast-paced environment.
Recognizes systems/root causes and identifies alternative solutions through analytical approaches.
What You'll Be Doing
Client point of contact for venue sourcing, negotiating, and contracting
Provides destination consultation and analysis.
Responsible for site selection, venue sourcing and contract negotiations
Facilitates contract and approval process.
Provides event-level reporting.
Client point of contact for event planning logistics.
Responsible for coordination of event planning from post contract execution to final billing, while providing unparalleled levels of customer service on all program components.
Responsible for all meeting logistics, including budget/cost savings management & reporting, compliance tracking, hotel logistics, food & beverage, audio visual, attendee management.
Manage program budgets prior to and during event.
Data entry of spend information.
Project Management and coordination of contracted event level third-parties.
Conduct site inspections and on-site program execution as required.
Support the Operations Team Leader and/or Operations Manager to identify and maximize opportunities to enhance account success.
As a Senior Meeting Planner, act as subject matter expert (SME) for the team members to ensure consistency and training for all, using best practice approach, experience & knowledge.
May require travel to destinations worldwide, in support of client site inspections and/or program operations.
