Job Details

Position Summary:
The incumbent is responsible for ensuring smooth and timely import & export of shipments for World Courier customers. The purpose of this position is to coordinate internally with overseas offices and externally with clients and agents over all OPS-related issues to ensure the smooth and successful operations and sustainable improvement of our service level. The incumbent directly reports to Operations Team Leader.

Responsibilities:

General
  • Answer telephone calls as per World Courier standards
  • Enter accurate and complete data into World Courier systems
  • Proactively resolve potential or actual problems with customers and teammates for shipments
  • Support Supervisor & Manager to ensure the efficiency of Operations & the quality of output
  • On time submission of report and assignments to Supervisor & Manager as requested
  • Work periodic weekends and holidays as rostered
  • Any other duties assigned
Specific
  • Ensure all import & export requirements are satisfied prior to authorizing shipments i.e. giving / receipt of “ok to send”
  • Ensure import & export papers are both complete and accurate
  • Keep local customers & origin office informed as to any earlier or delays in pick up / delivery of shipments
  • Liaise and closely follow up with airlines, customs in relation to delay and missing shipment
  • Vigilantly monitor progress of shipments through World Courier systems and being proactively resolve potential or actual problems with shipments
  • Communicate, arrange and dispatch drivers to clear, collect and deliver the import, export and transship shipments on time and provide special instructions if needed
  • Ensure all packaging and refrigerant is adequate for travel
  • Keep up-to-date with airline & customs requirements and timetables
  • Ensure uplifting of shipments has taken place, by checking with airlines via internet or telephone
  • Check notes from system regularly and response to inquires to both overseas offices and customers within the requested time frame
  • Ensure appropriate procedures (as per Ops Memo & SOPs) & regulatory compliance matters are being followed in the processing of shipments
  • Coordinate Clinical Trails and prepare all of PPWK with site prior beginning of shipping
  • Escalate complex complain directly to Manager
Role Rotation
  • World Courier practices cross training and role rotation in the interest of; seamless transitions in the event of staff transfer/departure; and encouraging staff training and development
  • All operations staff is therefore required to work in Exports as well as in Imports
  • Furthermore, in roles other than the job outlined in this Job Description

Reports Directly To:
TPE Operations & Customer Service Team Leader

Work Experience:
  • In-depth industry knowledge, especially of the Biopharmaceutical and High-Tech industry
  • Logistics background. (Ideally courier / airfreight business/freight forwarder)
  • Proven track record in sales & marketing
  • Relevant tertiary qualification
  • Applied knowledge of Microsoft Office applications
  • Good verbal and interpersonal skills
  • Fluent in English & Mandarin. (speaking and writing)
