The Role • To provide full executive support to Country Chair (CCh) of Shell in Thailand across all business activities and support the team with day-to-day operations, leadership team coordination, Crisis management team and longer-term business planning activities. Dealing with matters of a highly confidential nature. • Develop and maintain a sound understanding of business activities and objectives to be able to provide required information. • Develop and maintain connections to the Leadership Teams, CCT, CMT and teams in scope of CCh and other roles in scope of CCh e.g. SSR roles for South Africa, Ukraine and Brunei, setting dates for Leadership Team, CCT, CMT and SSR relevant Meetings, Monthly Telecons, social events, etc. Ensure pre-read is received and final papers for each meeting are distributed. • Manage incoming and out-going correspondences (all mediums) to & from CCh • Manage proper record management (in line with Ground guidelines) for all meetings and correspondences. • Manage and maintain complex diary coordination for CCh through planning / co-ordinating and arranging internal and external meetings, taking into account purpose, importance, impact and various complex and comprehensive boundaries and interfaces. • Take full responsibility for continuation of a wide range of activities during the absence of the CCh by efficiently managing the flow of work for CCh and by delegating as and when appropriate. • Communicate (verbally and in writing) various action items and associated information to numerous internal and external parties. • Arrange timely, detailed and accurate logistics for forthcoming travels including proactive and timely arrangements in a cost/business efficient manner. • Detailed liaison with a wide variety of internal and external stakeholders is required. • Maintain detailed system for key actions, meetings, review sessions, especially noting required timelines for preparing, approval and submissions to Leadership Team, CCT, CMT, SSR related meetings. • Coordinate and ensure receipt of relevant briefing papers for forthcoming meetings/travel. • Deal with and maintain a record of expense claims. Facilitate timely payment of all invoices received. • Act as contract holder for CCT support service. • Any ad-hoc business activities as required by CCh. What We Need from You • Substantial experience as a Management Assistant and good level of English proficiency • Since this role is to support multiple roles in scope for CCh, the ability to multi-task and manage high workload to tight timelines is critical. Restricted/sensitive information to be treated with a high degree of confidentiality and in line with Group guidelines. • Professional, flexible, and pro-active attitude is essential A high level of interpersonal skills and team working, able to communicate effectively with all levels including senior management. • PC literacy: Experienced in MS office applications and ability to quickly gain competence in other IT software. • Proficiency in systematically maintaining accurate records pertaining to activities such as meetings, travel, correspondence, and events. • The role is challenging in terms of content and time, highly confidential and necessitating interaction with senior group-wide management and external parties within a highly dynamic and global working environment. • Teamwork, accuracy, service orientation and a pro-active and highly professional attitude qualify as essentials for this job. • The ability to work under pressure and coping with last minute changes is also essential.
