Graduate Purchasing Assistant

Reporting to: Purchasing Manager
Working Hours:
  • Monday to Thursday: 7:30 am to 4:00 pm (30-minute lunch break)
  • Friday: 7:00 am to 1:00 pm
Overview:
We are seeking a motivated and detail-oriented individual to join our Buying team. This is an excellent opportunity for a recent graduate looking to start their career in the fast-paced world of buying and procurement. As a key member of the team, you will provide essential administrative support to ensure the smooth operation of the buying process. You will work closely with the purchasing team, liaise with suppliers, and support various departments within the company.
Responsibilities:
  • Administrative Support: Provide comprehensive administrative support to the Buying team, including data entry, filing, and maintaining accurate records.
  • Purchase Orders: Assist in raising and processing purchase orders using the company’s system, ensuring accuracy and timeliness.
  • Supplier Liaison: Communicate with suppliers to track order progress, resolve any issues, and ensure timely delivery of goods.
  • Inventory Management: Monitor stock levels and coordinate with the warehouse to ensure that inventory is maintained at optimal levels.
  • Data Analysis: Assist in compiling and analysing data related to purchasing, pricing, and market trends to support decision-making.
  • Product Samples: Manage the receipt and organisation of product samples, ensuring they are available for review by the Buying team.
  • Market Research: Conduct market research to identify new suppliers, products, and trends that align with the company’s objectives.
  • Documentation: Prepare and manage all necessary documentation, including purchase orders, invoices, and delivery notes.
  • Meeting Coordination: Schedule and organise meetings with suppliers and internal stakeholders, and prepare meeting agendas and minutes.
  • Support New Product Development (NPD): Assist in coordinating with suppliers and internal teams to bring new products from concept to market.
  • Compliance: Ensure that all purchasing activities comply with company policies and procedures.
  • General Assistance: Provide general assistance to the purchasing team as required, including any ad hoc duties.
Requirements:
  • Bachelor’s degree in Business, Supply Chain, or a related field.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook).
  • Excellent attention to detail and organizational skills.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Analytical mindset with the ability to interpret data and make informed decisions.
  • A proactive approach to problem-solving and the ability to manage multiple tasks simultaneously.
  • Previous experience in a similar administrative role or internship is advantageous but not essential.
