Medical Receptionist Part Time (General Practice Doctor's Surgery)

The Role:
We currently have a part time Receptionist vacancy for the following working hours:
25 hours: Tue 1.30-6.30, Wed 8-6.30, Fri 8-6.30
This role is subject to a DBS check.
Role objective:
To provide and maintain an efficient, professional, reliable, pleasant, welcoming and friendly service to patients and to support with queries from doctors, staff, patients and third parties across multiple sites.
Tasks:
Welcoming patients in accordance with Practice policy and consulting with the practice team. Issuing completed repeat prescriptions to patients ensuring appropriate name and address checks.
Answer calls within 5 rings in a pleasant and professional manner. Ensure all telephone requests/queries are managed appropriately. Ensure timely and accurate recording of all telephone messages.
Process appointment requests in accordance with Practice policy. Recall patients for appointments as needed and within timescales requested. Process and log home visit requests.
Ensure a thorough knowledge of all Practice procedures and work in accordance with all written admin protocols and policies. Post duties. Regular checking of internal post boxes and dealing with contents. Filing, Photocopying & Faxing. Maintaining a record of daily lab tests outgoing
Effective administration of the practice computerised clinical system. Data entry of patient data including notifications of changes, attendance status and other items as necessary. Processing of repeat prescription requests in accordance with practice guidelines when requested to do so.
Ensuring prompt room clearance after surgeries and re-stock with supplies where appropriate. Chaperoning Doctors upon request. Opening and closing of premises and ensuring building security including, doors, windows, alarm - following security procedures. Advise on and charge fees for consultations/prescriptions where appropriate and in accordance with Practice policy. Taking payments and issuing receipts. Follow Practice procedures for registrations including temporary patients, overseas visitors etc. Organising/making refreshments as requested. Covering other Receptionist’s positions and duties as and when needed.
To comply with all Practice protocols, policies, legal requirements and procedures. To maintain positive and professional relationships with all staff and third parties. Compliance with confidentiality and Data Protection Regulations regarding all staff, visitors, patients, contractors etc. Caldicott Requirements (Patient Confidentiality).
To undertake training as directed to ensure that that skills remain compliant and at the required standard of the practice. Any other tasks allocated that fall within the scope of Practice requirements and the employee's expected skill level.
Essential Requirements:
A good standard of general education.
Admin skills.
Customer facing experience with the general public
English and Maths (GSSE/equivalent)
Sensitivity and empathy
Excellent written and spoken English and a clear and polite telephone manner.
Microsoft office, fast and accurate data entry and keyboard skills.
Good planning, prioritisation and general time management skills with the ability to work to deadlines.
Able to work cohesively as a team member with the ability to work autonomously and without constant supervision.
Effective and positive interpersonal and communication skills both written and oral.
Good problem solving and analytical skills.
Ability to follow instruction and comply with policy and procedure.
High levels of initiative, confidentiality, integrity and loyalty.
Forward thinking and self-motivated.
Flexible and cooperative.
Ability to perform under pressure.
Ability to work across multiple local sites (Wallisdown, Northbourne, Bmth Uni)
Desirable Requirements:
Previous reception or admin experience within a GP Practice (highly desirable)
