Meetings & Events Executive

Job Summary
Between the Cotswold’s highest point and the stunning green gallops of Cheltenham’s world-famous racecourse, the quintessentially English and privately owned luxury 5* Ellenborough Park Hotel & Spa is steeped in history and offers 90 acres of rustic countryside. It comprises 62 rooms and suites, a destination restaurant and bar, a Spa and excellent Meeting, Conference and Wedding facilities.
We are currently looking for a Conference & Events Executive to join our team.
General Scope:
As part of the Events team you will ensure the smooth running of Meeting and Events bookings, from initial enquiry through to final accounting. You will maximise revenue whilst providing a consistent first class standard of service to all customers needs and requirements.
Your responsibilities:
  • Assisting with maximising revenue through effective sales techniques and conversion of enquiries.
  • Be responsible for communicating all clients' needs throughout the hotel through the publishing of weekly function sheets and amendments as appropriate.
  • Ensuring the highest quality and standards are maintained in all of the information and printed material issued.
  • Conduct show-rounds to all potential clients in a friendly and welcoming yet professional manner.
To ensure that the reservations for conference & events are solid and accurate through:
  • Sending out contracts for all bookings (and ensuring that an activity or reminder is created & completed when the contract is sent out).
  • Confirm that the bedrooms are booked for the conference by using the procedure laid down for block/group bookings in the PMS.
  • When the contract is returned changing the status to definite in the PMS and filing the paperwork in the correct file.
  • Ensuring effective chase systems are in place using the relevant function in the PMS.
Maximising conversion of enquiries through:
  • The correct telephone techniques being used.
  • Professional handling of an initial conference & events enquiry.
  • Reviewing the enquiries and tentative bookings each week to ensure that the appropriate next action is in place to convert the enquiries the hotel wants.
Ensuring:
  • Conference and Events enquiries are handled according to the standards laid down.
  • Work with the C&E Sales Manager to review incoming enquiries to identify the business that is most suitable for the hotel.
Candidate Requirements:
  • Previous experience in a Weddings or Events sales role within a hotel desired.
  • A team player with excellent organisational and time management skills.
  • Impeccable attention to detail.
  • Ability to work under pressure, whilst maintaining a positive and can-do attitude.
  • Guest focused with a genuine passion for delivering sensational service.
  • Excellent spoken English and have immaculate presentation skills.
