Document Control Technician

Position Summary:
The Document Control Technician will be responsible for managing, processing, and distributing all project-related documentation for large-scale construction projects, with a focus on using Prolog Manager software. The role includes both electronic and hard copy document management, ensuring that all project documents are properly scanned, indexed, filed, and distributed according to established procedures. The position may require co-location with the construction management team at field locations and may involve travel between office and field sites.

Essential Job Duties:
  • Document Control and Distribution:
  • Manage the scanning, indexing, linking, and filing of documents using Prolog Manager. This includes internal distribution within the Planning & Development Group (PDG) and external distribution to project participants.
  • Process various types of project documents, including correspondence, technical submittals, project reports, Requests for Information (RFIs), contract plans, and specifications.
  • Prepare and distribute transmittals, and retrieve documents from Prolog as needed.
  • Organization and Filing:
  • Create and maintain an organized filing system for both electronic and hard copy documents. This includes establishing and maintaining project document control files and ensuring timely scanning and indexing into Prolog Manager.
  • Create binders, labels, and organize contract documents to ensure ease of access and retrieval.
  • Ensure that all documents are filed and distributed in accordance with project document control procedures.
  • Prolog Software Usage:
  • Utilize Prolog Manager software for the control and distribution of project documents. This includes ensuring the accuracy of indexing, linking, and retrieval of documents, as well as managing document metadata.
  • Maintain a high level of proficiency in Prolog and related document management systems to support project needs.
  • Team Support and Training:
  • Assist the Project Manager, Construction Manager, and project team with document control needs and procedures.
  • May be designated as a lead Document Control Technician for specific projects or tasks.
  • Provide training to new staff members on document control procedures and software systems.
  • General Duties:
  • Assist in managing document flow for large-scale construction projects, including correspondence, field memos, submittals, pay requests, drawing logs, safety notices, and photos.
  • Ensure all project documents are processed in a timely manner, meeting deadlines and adapting to changing project priorities as needed.
Other Required Duties:
  • Provide document control support across various project stages, from planning and design to construction and closeout.
  • Ensure documents are organized and stored in compliance with project requirements and legal standards.
  • Be proactive, self-motivated, and results-driven, with the ability to handle multiple priorities and changing tasks.
  • Be flexible in adapting to project needs, deadlines, and priority changes.
Hardware/Software Knowledge:
  • Required Software:
  • Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
  • Strong experience with Adobe Acrobat Professional for document processing.
  • Preferred Software:
  • Experience with large-scale document control software such as Prolog Manager and Documentum.
  • Familiarity with scanning hardware and optical character recognition (OCR) technology for document processing.
Professional Experience/Qualifications:
  • Experience:
  • Previous experience managing document control processes for a large-scale, billion-dollar construction project is required. Experience on a large public-sector construction project, such as at an airport, is highly desirable.
  • Attention to Detail:
  • Must be highly detail-oriented and organized, with a proven track record of accurate document management and timely task completion.
  • Communication Skills:
  • Strong written and verbal communication skills, with the ability to interact with a wide range of personnel, including project managers, engineers, contractors, and other stakeholders.
  • Ability to clearly explain document control processes and provide training to new staff members.
  • Physical Requirements:
  • Ability to occasionally lift, wrap, and move boxes/packages up to 40 pounds.
  • Ability to work in both an office and field construction environment, with the flexibility to travel between locations.
Education/Training:
  • Required Education:
  • A two-year technical degree in a relevant field (e.g., Business Administration, Construction Management, or Information Technology) is required.
  • Required Experience:
  • A minimum of 2-5 years of experience in document processing and data management, with a focus on large-scale construction projects. Experience at large international airports is preferred.
  • Required Skills:
  • Mastery of Microsoft Office Suite and Adobe Acrobat Professional is essential.
  • Experience in a construction environment is highly desirable.
Element-Specific Requirements/Notes:
  • May be required to work overtime or different shifts based on project timelines.
  • Must be able to work independently and take initiative when needed.
  • Willingness to adapt to various document control tasks and support project teams as needed.
Registration/Certification:
  • Certification for document control professionals (e.g., Certified Document Control Professional - CDCP) is highly desirable.
