Job Summary
We’re seeking an executive administrative assistant who is a proactive self-starter that can operate efficiently in a fast-paced environment. The position requires extreme attention to detail and a driven attitude with a growth mindset. Candidates should possess strong office management skills, excellent communication abilities and comfort in speaking to all types of people. The executive assistant plays an essential role in keeping all company data organized and presentable. Responsibilities
- Coordinate with executive team to manage calendars; including scheduling appointments, set meetings, and assist across all organizational platforms.
- Assist with project documentation and preparation
- Assist executive team with travel arrangements
- Keep meticulous records and always maintain discretion - some contracts and relationships are high-profile and considered proprietary.
- Provide administrative support by preparing reports, presentations, and correspondence.
- Serve as the first point of contact for clients and visitors, delivering outstanding customer service.
- Maintain organized filing systems and ensure all documents are accurately managed.
- Assist with proofreading documents to ensure clarity and accuracy.
- Handle front desk duties, including answering main phone line and greeting guests professionally.
- Utilize Microsoft 360 for document creation, data management, and communication.
- Support office management tasks such as inventory control and supply ordering.
- Collaborate with team members to streamline processes and improve efficiency.
- Potential travel required within the United States, but mainly office job based in Waxahachie, TX.
- High school degree or equivalent - Bachelors in Political Science, Communications, or Business Administration preferred
- 5+ years of experience in administration
- Proficiency in Microsoft platforms (excel, word, powerpoint, etc)
- Ability to learn and adapt to new software and processes
- Spanish language proficiency is a plus, but not required
- Self-starter-there will be little oversight and you will need to take initiative and be proactive
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent customer service skills with a focus on client satisfaction.
- Strong proofreading abilities with attention to detail.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Exceptional written and verbal communication skills.
- $56,000 - $87,000 base salary based on experience, plus bonuses and potential for annual raises.
- Paid holidays and 2 weeks vacation annually
- Hybrid work possible with a secure VPN and high-quality internet access (paid by the firm)

Job Type: Full-time
Pay: $56,000.00 - $87,000.00 per year
