Logistics Coordinator (On-site, Over Night)

Position Summary: The On-Site Logistics Coordinator is responsible for overseeing truck scheduling, managing driver arrivals and departures, and coordinating with internal and external stakeholders to ensure efficient operations. This role also ensures drivers adhere to facility policies and procedures, including on-time arrivals and departures and seamless check-in processes. A highly organized individual with strong communication skills, the coordinator must work both independently and collaboratively in a fast-paced environment.
Key Responsibilities:

Truck Scheduling and Coordination:
- Manage daily truck schedules, ensuring drivers arrive and depart on time.
- Coordinate with drivers to ensure they have accurate and timely information about their schedules and destinations.
- Track and monitor truck arrivals and departures, updating records and systems as necessary to reflect any changes.

Driver Coordination and Communication:
- Ensure drivers are informed about check-in procedures and facility policies, and that they adhere to them.
- Act as the primary point of contact for drivers, providing clear instructions on where to go within the facility and handling any questions they may have.
- Facilitate a seamless check-in process for drivers, ensuring efficient entry and minimizing wait times.
- Inform drivers of their roles in maintaining schedule adherence and efficient operations.

On-Time Arrivals and Departures:
- Ensure that all drivers are on schedule, arriving and departing at designated times to meet operational goals.
- Monitor performance metrics related to on-time arrivals and departures, addressing any delays or issues promptly.
- Proactively communicate with drivers and internal teams about potential delays or scheduling conflicts, working to resolve them in real time.

Communication and Stakeholder Management:
- Maintain clear and proactive communication with internal teams (operations, warehouse, etc.) and external partners (vendors, carriers).
- Ensure all stakeholders are informed of schedule changes, delays, or other critical updates.
- Act as a liaison between drivers, operations, and customer service teams.

Organizational Skills and Self-Management:
- Prioritize tasks efficiently to meet daily operational goals and deadlines.
- Work independently with minimal supervision, while also collaborating effectively with team members.
- Use systems and tools to maintain accurate records and ensure smooth day-to-day operations.

Problem-Solving and Issue Resolution:
- Proactively identify and address any scheduling conflicts or issues related to truck arrivals and departures.
- Troubleshoot problems as they arise, ensuring minimal disruption to operations.
- Escalate complex issues to the Operations Manager when necessary.

Other Responsibilities:
- Perform any other duties assigned by the leadership team in support of logistics operations.
Qualifications:
- High school diploma or equivalent required; a degree in Logistics, Supply Chain, or a related field is a plus.
- Previous experience in logistics coordination, transportation, or a related field.
- Strong communication and interpersonal skills, with the ability to build relationships with drivers and internal teams.
- Highly organized, with the ability to manage multiple schedules and tasks simultaneously.
- Self-starter with the ability to work independently and as part of a team.
- Proficient in Microsoft Office Suite and logistics software.
