We work in partnership with our Network of diaper banks, allied members, donors, sponsors, and elected officials to end diaper need and period poverty in the United States.
The National Diaper Bank Network (NDBN) is seeking a highly motivated and experienced Product Donations Manager to help plan and execute the donation and distribution of in-kind products to our member network.
This is a fully remote position with east coast hours (9 AM - 5 PM EST).
Position Summary
The Product Donations Manager, positioned within the Admin Department of the National Diaper Bank Network (NDBN), is responsible for overseeing and executing NDBN's Bulk Product Donations Program and Disaster Relief Product Donation efforts nationally. The goal of this program is to equitably distribute these bulk donations across the U.S. in order to increase the national network's capacity as well as to build the capacity of member diaper banks. This role manages all operational and logistical aspects of regular bulk product donations and disaster relief product donations, working collaboratively with the Member Services and Support Department to ensure alignment with overall program goals and member needs. The manager coordinates closely with internal staff, network members, external partners, and donors to ensure the efficient distribution of donated diapers, period supplies, and other basic needs products across the national network. Success in this role requires exceptional customer service skills, ability to pivot quickly during emergencies, and strong operational expertise.
Key Responsibilities
Product Donation Operations & Logistics Management
  • Manage product donation lifecycle from initial receipt through member distribution and reporting
  • Work with the logistics coordinator to Coordinate efficient donation shipments and logistics while meeting both donor and member needs
  • Develop user friendly systems for tracking donations, shipments, and distributions
  • Work with the logistics coordinator to process donation receipts and acknowledgments promptly
  • Execute established donation procedures efficiently
  • Maintain emergency response protocols and activate them as needed
  • Maintain detailed records of donation specifications, requirements, and processing procedures
  • Ensure compliance with donor requirements and restrictions
Data Management & Systems
  • Maintain accurate records in Salesforce and Monday.com
  • Prepare operational data for donor impact reports
  • Analyze program data to identify operational efficiencies and areas for improvement
  • Prepare regular reports on program operations, performance, and impact
  • Develop and maintain program SOPs
Donor Support
  • Support External Affairs Department and Director of Corporate Relations with:
  • Timely operational information
  • Coordination of donation processes
  • Disaster response coordination
  • Operational updates and metrics for relationship management
  • Donation impact data and success stories
  • Donation acknowledgments
  • Social media amplification
  • Ensure accurate tracking and documentation of all donations for reporting purposes
Member Services & Relationship Management
  • Build and maintain strong relationships with member organizations through proactive communication
  • Guide members through donation processes with patience and clarity
  • Anticipate member needs and proactively address potential challenges
  • Create and maintain clear communication channels for routine operations and emergencies
  • Work with Member Services and Support Department to:
  • Maintain and update eligible member lists
  • Coordinate member enrollment processes
  • Develop and send donation offers to eligible members
  • Ensure equitable distribution
  • Provide technical assistance regarding program eligibility and participation
  • Share insights and data for program improvements
Emergency & Disaster Response
  • Execute rapid response efforts for product donations during disasters in the United States
  • Quickly adapt normal operations to meet urgent needs
  • Coordinate emergency shipments and special arrangements during crisis situations
  • Support External Affairs in disaster response coordination with donors
  • Facilitate quick donation processing during emergencies while maintaining program integrity
Cross Departmental Collaboration
Partner with:
  • External Affairs for donor engagement
  • Member Services and Support Department for member needs alignment
  • Communications team for donor recognition
  • Admin department for: Streamlining donation processing & Invoicing and donation valuation
  • Contribute to program improvements based on operational insights
  • Contribute to member portal content development
  • Interface with department of Innovation and Impact on program evaluation and impact
Qualifications
  • Minimum 3 years of experience in operations management, logistics, or supply chain operations.
  • Bachelor's degree in business administration, operations management, logistics, or related field or comparable experience preferred
  • Experience in nonprofit logistics
  • Knowledge of disaster relief operations
  • Experience with bulk product distribution
  • Experience coordinating with multiple stakeholders and departments
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Salesforce, Monday.com, and Microsoft Office suite.
  • Experience with shipping and warehouse operations preferred.
  • Ability to work under pressure and meet tight deadlines.
  • Demonstrated ability to work collaboratively across departments.

Job Type: Full-time
Pay: $60,000.00 - $63,000.00 per year
