Job Description
Informa Markets in Vietnam is looking for an Administration Executive who will look after all office administration function to ensure a safe, healthy and comfortable working environment for all colleagues.
MAIN DUTIES/ RESPONSIBILITIES:
- Managing the reception area, including welcoming customers and guests
- Sole administrator for office fingerprint access system
- Handling all incoming and outgoing calls and international couriers / local courier
- Managing office supplies (office stationery, pantry, electric appliances) including placing order, checking the contracts, invoices, raising purchase requisitions and follow up on payment.
- Supporting the team on Flight / Hotel / Visa / transport arrangements.
- Handling office lease renewal contracts, cleaning services and other office service providers.
- Supporting HRM on staff welfare such as Staff Birthday / New Year / Christmas / any other celebrations.
- Calendar management, flight & accommodation arrangements for GM and his documents such as Work Permit/ Residence Card.
- Handling events support such as team flight & accommodation booking, visa invitation letter issuance, post event reports, entertainment functions.
- Arranging interview schedule and candidate reminders
- Handling other tasks assigned by the Line Manager.
Qualifications
- College degree, graduated from office administration is a plus
- At least 2 year experience in the same position.
- Good command of English
- Strong interpersonal skills
- Detail-oriented, proactive, service-oriented mindset.
- MS Office literacy
