Team Administrator

We are seeking a dedicated and experienced Administrator to join the Maintenance teams at Aurizon. This role will provide high quality, confidential administrative support and work collaboratively with other staff members to facilitate effective and efficient operation of the Jilalan Maintenance Teams.
This position can be either full time or part time, with hours and days negotiable.

In this role you will be required to:
- Provide general administrative support including diary management, travel bookings, stationery ordering, records and file management, setting up supplier contracts in systems, payment of invoices, coordination of cab charge vouchers and air train tickets and reconciliation of credit card statements.
- Coordinate meetings and functions including room bookings, equipment bookings, supporting video conferencing, sending meeting requests and agendas, arranging catering if required, developing presentations, taking meeting minutes and action items.
- Provide assistance as required for functional/divisional initiatives.
- Liaise and act as a of contact between internal senior executives, external business leaders and members of the public to ensure the efficient operation of the office.
- Maintain an awareness of senior leadership team issues, responsibilities and priorities.
- Advise Executives of issues requiring their personal attention and take follow up action to ensure the successful completion of tasks.
- Contribute to the preparation, review and distribution of reports and communication documents.
- Strong computer skills including proficiency with Microsoft Office suite of programs and SAP to enhance administrative support.
- Administrative experience (preferred).
- High level of interpersonal and stakeholder management skills, written and oral communication skills with a strong focus and proven ability in the management of matters of a confidential and sensitive nature.
- High level of organisational, problem solving and decision-making skills, as well as skills in business process improvement.
- Previous experience within the rail, logistics or mining industry will be highly regarded
