  • Management and Leadership:
  • Responsible for the management and leadership of the Reception Staff and the Schedule Coordinator.
  • Manages the overall management of Humanity Shift Planning software.
  • Human Resources:
  • Collaborates with the management team in coordinating employee recruitment and selection activities.
  • Manages securely and confidentially all documents (employee files) for the complete employee lifecycle.
  • Responsible for tracking and coordinating the renewal of required training for all staff.
  • Manages All Care’s Healthy Safety Program and participates on the Joint Health and Safety Committee. This includes ensuring proper accident investigations and paperwork are processed
  • Administration:
  • Responsible for agenda and minutes for management team meetings.
  • Manages the Trust Comfort Fund.
  • Responsible for the document management, development and revision of policies and procedures.
  • Financial:
  • Responsible for the petty cash process.
  • Manages office supplies budget and liaises with all management with procurement issues and purchases.
  • Technology Support:
  • Provides technology support by assisting with troubleshooting and coordinating with external support when necessary.

To be successful in this role the ideal candidate will be an individual who has
o A minimum of a 2 year diploma in office administration with 3 years of experience in a health care setting or a combination of other related education and experience.
o Experience as a scheduler or similar role in a health care setting.
o Experience with the Humanity Scheduling software.
o Ability to work independently and collaboratively as part of multidisciplinary team.
o Demonstrated proven record of completing tasks with an attention to detail.
o Demonstrated experience with managing, developing and revising policies and procedures with a goal of efficiency and effectiveness.
o Ability to demonstrate tact, diplomacy, empathy and patience and the temperament necessary to maintain a caring manner while working with team members and residents.
o Demonstrated experience in document management both paper and digital.
o Demonstrated experience with prioritization and meeting important deadlines like payroll or other regulatory requirements.
o Demonstration sound judgement of when to problem solve and or make decisions independently or as part of a team.
o Ability to communicate effectively both verbally and in writing in English.
o Demonstrated experience using Microsoft applications to ensure effectiveness and efficiency is achieved in all aspects of your position.
o Experience with technology and troubleshooting including computers, fax machines, scanners and printers.
