The Nuclear Waste Management Organization (NWMO) is a not-for-profit organization tasked with the safe, long-term management of Canada’s used nuclear fuel inside a deep geological repository, in a manner that protects people and the environment for generations to come.

Founded in 2002, the NWMO has been guided for 20 years by a dedicated team of world-class scientists, engineers and Indigenous Knowledge Holders that are developing innovative and collaborative solutions for nuclear waste management. Canada’s plan will only proceed in an area with informed and willing hosts, where the municipality, First Nation and Métis communities, and others in the area are working together to implement it. The NWMO plans to select a site in 2024, and two areas remain in our site selection process: the Wabigoon Lake Ojibway Nation-Ignace area in northwestern Ontario and the Saugeen Ojibway Nation-South Bruce area in southern Ontario.

Communications Specialist-Internal
Fulltime – One (1) Position Available

Position Location: Toronto Head Office – 22 St. Clair Avenue East

Job Summary:

Reporting to the Director, Corporate Communications, the Communications Specialist – Internal will be responsible for developing, implementing and managing and continuously evolve the NWMO’s internal communications strategies. The Communications Specialist – Internal will also administer the NWMO’s Corporate Sponsorships and Donations program. This position will be accountable for managing budgets, vendors and contracts and ensuring relevant processes and systems are in place to deliver work on time and budget. Supervisory experience is also a requirement for this role.

Responsibilities
  • Develop, implement, manage and continuously evolve the NWMO’s internal communications strategies.
  • Administer the NWMO’s Corporate Sponsorships and Donations program, including working with a variety of internal stakeholders. This may involve submission of proposals, organizing committee meetings, and managing communication about decisions. Develop and maintain relationships with organizations the NWMO sponsors.
  • Develop, design and plan annual employee meeting and townhalls.
  • Develop, manage and evaluate communications plans and tactics. Activities may include supporting community and engagement events, managing visibility initiatives and tradeshow communications plans, organizing lunch and learn events, managing intranet content, organizing staff meetings and other employee events, and leading communications campaigns on topics supporting corporate objectives.
  • Provide support for communications content, plans and strategies including coordinating spokesperson responses to employees.
  • Draft responses to questions from the public, working with subject experts and others in Stakeholder Relations to ensure accuracy and appropriate messaging.
  • Provide effective employee communications programs, advice and strategies to management that is aligned with corporate objectives, policies and protocols.
  • Create and manage editorial plans and content development for internal audiences.
  • Manage, maintain and support team use of planning and production calendar, Wrike planning tool and employee intranet pages.
  • Contribute to and support development and implementation of NWMO communication and engagement strategies.
  • Project manage the production of internal communication material, from content development (writing, editing proofreading, approval, translation) to design, production, printing, distribution, mailing and placement. Ensure all materials:


    • Are consistent with and help achieve NWMO communications strategies;
    • Meet NWMO visual identity requirements;
    • Communicate consistent key messages;
    • Are appropriately adapted to multiple platforms where required;
    • Incorporate current internal communications best practice; and
    • Are appropriate given specialized needs of each target audience.
  • Manage a range of internal and external resources to ensure each project is produced on time, on budget, and in accordance with NWMO brand standards and communication strategies. Ensure resources are scheduled to avoid bottlenecks, delays or unnecessary costs. These resources typically could include graphic designers, photographers, translators, exhibit developers and printers.
  • Ensure corporate communications standards and policies, including visual identity, are applied consistently.
  • Support the procurement process as needed for services such as printing, translation and exhibit development. Help prepare scope of work and rating criteria for relevant RFPs. Help review and evaluate proposals and prepare purchase requisitions.
  • From time to time, represent the NWMO in engagement activities with both English and French audiences. This may involve representing the NWMO at public engagement events such as open houses or trade conferences and handling questions from the public.
  • Supervise staff and be responsible for their assigned work. Act as a coach to create and sustain a co-operative and supportive team environment, actively working with staff to provide training and empower them to attain optimal work performance with a high level of personal responsibility and self-management. Demonstrate openness and trust through the sharing of information, and by being visible and accessible to employees. Provide clear expectations and performance measures and regular meaningful feedback.
  • Ensure employee health and safety activities meet or exceed the health, safety and environment requirements as outlined in NWMO policies, procedures and standards by supporting a strong safety culture.

Qualifications and Experience
  • Completion of a 4-year University education in communications, public relations or journalism or by having the equivalent level of education.
  • Demonstrated communications and public relations experience in a high profile environment to develop a variety of communications tools and products and to develop communication vehicles for a variety of media. A period of over 8 years and up to and including 10 years is considered necessary to gain this experience.
  • Requires an excellent knowledge of communications principles and techniques to develop, manage and evaluate communications plans and tactics.
  • Excellent writing and editing skills to develop communications materials and provide support for communications plans and strategies.
  • Requires a knowledge of graphic design and printing processes to manage the production of communications materials.
  • Demonstrated strong organizational skills to manage workload with competing priorities and tight timeframes and to work effectively under pressure.
  • Strong relationship management skills to develop and maintain positive relationships with a wide variety of internal and external stakeholders.
  • Experience in the procurement process to review and evaluate proposals.
  • Highly proficient in a variety of standard word processing, presentation and desktop publishing applications.
  • Excellent oral and written communications skills (in French would be an asset).
Other Information

Must be eligible to work in Canada and must be able to meet security clearance requirements.

NWMO currently operates in a hybrid work model of 3 days in the office (Tuesdays being universal) and 2 days working from home.
