The The Hotchkiss Brain Institute in the Cumming School of Medicine invites applications for a Senior Advisor, Communications. This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.
The Hotchkiss Brain Institute (HBI) in the Cumming School of Medicine (CSM) at the University of Calgary consists of over 1700 scientists and clinician scientists, trainees and staff who work together towards the Institute's mission to inspire discovery and apply knowledge towards innovative solutions for neurological and mental health disorders. The HBI is one of Canada's leading centres of excellence in brain and mental health research and education. The HBI operates within the University of Calgary's Cumming School of Medicine in partnership with Alberta Health Services. The Institute also leads the University, campus-wide Brain and Mental Health research strategy, which unites over 300 researchers across nine faculties under a shared discovery-based research framework.
Reporting to the Senior Manager, Innovation, Partnerships and Strategy, the Senior Advisor, Communications works closely with the Managing Director and Executive Director of the Research Institute and the Cumming School of Medicine's (CSM) Director, Communications & Media Relations.
Summary of Key Responsibilities (job functions include but are not limited to):
Communications
- Key contact responsible for communications liaison within the HBI, the University of Calgary, and with key partners such as the Cumming School of Medicine, and Alberta Health Services
- Responsible for preparation and dissemination of communications for external parties
- Responsible for the implementation of the Institute communications strategy designed to increase awareness and advance the mission of the HBI within the University, other partner organizations, and the community
- Work with the CSM, University Relations, Alberta Health Services, and other partner communication departments to coordinate news releases, media coverage, implement program launches, and other projects to promote the HBI
- Makes recommendations to the HBI Leadership team on the development of communications policies and short and long term strategies, and responsible for overseeing their implementation
- Raise and promote the profile of the HBI and its activities among the research community and other stakeholders
- Effectively manage expenditure budgets for communication products and activities
- Responsible for the compilation and or distribution of annual reports as required
- Coordinate writing, editing, proofreading and production of communication materials
- Coordinate distribution and archiving of HBI materials such as brochures, pamphlets, displays, templates, and logos
- Provide HBI expert referrals for media coverage through the Cumming School of Medicine Communications Office
- Responsible for the coordination, preparation and submission of materials as required for funding applications in support of communications, events, seminars and related activities for the HBI
- Create, update, maintain content, and provide management and oversight for the HBI website, including member information
- Create, update, maintain content and provide management and oversight for HBI social media accounts
- Manage calendar of events including the updating and maintenance of event listings on the HBI website
- Create and maintain an accessible, searchable usable database to be used as a central information source to support communication activities of the HBI
- Prepare and design communication products such as e-bulletins, websites, intranet sites, etc. to communicate with internal and external audiences effectively
- Close involvement with the HBI Leadership team in long range planning, often dealing with multiple projects and priorities
- Responsible for developing, implementing and managing communication strategies to increase awareness and advance the mission of the HBI
- Provide strategic assessment and make recommendations to leadership of events and tactics to determine feasibility, value to the HBI, as well as propose and implement appropriate changes, additions, and deletions to the annual event schedule
- Work closely with communications offices across campus to establish an enhanced culture of collaboration and open communication between the nine faculties (and their institutes, centres, and departments) that have a strong interest in brain and mental health to ensure consistent messaging appears in all related media
- Post-secondary degree in a relevant area such as communications, public relations, marketing, and/or journalism
- Minimum 5-7 years of relevant, related experience
- Significant communication and administrative experience with emphasis on strategic planning, decision-making, highly developed organizational skills and the ability to anticipate requirements, plan, organize, coordinate, and perform work with little or no direction
- Exceptional interpersonal and communication skills required in dealing with a range of situations, which may include complex, sensitive and confidential issues
- Excellent communicator within a team and in-depth knowledge of the Cumming School of Medicine and University culture and operating procedures
- Demonstrates professionalism, discretion, courtesy, and respect in all interactions with internal and external clients creating a positive image for the HBI
- Ability to operate within a complex, multi-faceted work environment and be a strong team player
- Capability to adjust work schedules to meet multiple demands and pressures
- Experience producing a variety of communication vehicles aimed at various audiences
- Experience working with the media both in a reactive and strategic planning capacity
- Experience with the planning, scheduling, and production of print and electronic products
- High level of proficiency in writing and editing a variety of documents for a wide range of audiences/stakeholders
- Must be flexible and able to perform multiple tasks simultaneously
- Experience with social media platforms including Facebook and Twitter
- Experience writing and editing newsletters and media considered an asset
- Must have demonstrated ability to provide a consistent high level of service
- Proficient in Microsoft Office applications such as Word, Excel, Access and Power Point
- Proficient with industry standard design and production software, such as Adobe In Design, Illustrator and Photoshop
- Familiarity with shooting, editing and producing video segments is an asset
