As an Executive Assistant in the Building Operations team at Pomerleau Construction, you will play an essential role in providing comprehensive professional administrative support. Supporting our work in building large-scale building and infrastructure projects - ranging from $1.5 million to upwards of $1 billion - you will oversee scheduling and administrative tasks for senior leaders while handling a range of assignments and confidential responsibilities.

As an Executive Assistant in the Building Operations team at Pomerleau Construction, you will play an essential role in providing comprehensive professional administrative support. Supporting our work in building large-scale building and infrastructure projects - ranging from $1.5 million to upwards of $1 billion - you will oversee scheduling and administrative tasks for senior leaders while handling a range of assignments and confidential responsibilities.
What You Will Do

Provide full administrative support to assigned senior leaders (ie. meeting minutes, and other communications).

Manage daily calendars including scheduling of meetings, appointments and booking all travel arrangements (local, national and international when applicable).

Assist in preparing confidential documents and presentations.

Track/follow through on requests and related paperwork (ie. ordering supplies, preparation and submission of expense reports), and correspondence/emails.

Management of office services and approval of associated invoices.

Follow up and act as a liaison with various individuals both internally and externally, at all levels of the organization including senior executives and executive assistants.

Screen, prioritize and determine actions for incoming inquiries.

Support the administration department for training needs and daily tasks.
- Manage database of key clients and contacts through CMIC (ie, for newsletters and other mailings).
This role could be for you if you have

5+ years’ administrative experience.
-
A College Diploma in the field of Office Administration, or a combination of education and industry experience.

Keen sense of confidentiality and discretion.
-
Solid written and verbal communication skills.
-
Strong organizational skills and the ability to multitask.
- Strong computer skills including Microsoft Office applications.
