Administrative Assistant to Partners
We are looking for two full-time Administrative Assistants to support our Partners in our Copenhagen office with a variety of administrative task such as calendar and travel management, expenses and ad hoc coordination with medias, for events etc.
As Administrative Assistant you will support a group of Partners, who are grouped according to synergies between the markets they are working in and level of support needed.

The successful candidate interface with BIG executives and their support teams, schedules internal and external meetings, understanding priority and urgency, and effectively managing busy schedules.

Additionally, this role includes planning and booking international travel itineraries, considering factors such as time zones, visa requirements, weather delays, traffic, and fatigue levels. These itineraries may change at short notice, requiring readiness to make necessary adjustments.

We recently opened our HQ in Copenhagen, and we facilitate internal and external events for clients and collaborators. As part of being Administrative Assistant you support on an ad hoc basis with coordination and preparation of these events.

While your primary focus will be on supporting the partner group, you will also be an essential part of the local and global operations teams, collaborating closely with colleagues in both the Copenhagen office and our offices in New York, London, and Barcelona, as well as the offices of Founding Partner Bjarke Ingels and Global CEO Sheela Maini Søgaard. The ideal candidate possesses strong emotional intelligence (EQ) and the ability to engage effectively with individuals at all levels, both internally and externally. You will also be in close collaboration with the Team Lead of the EA group in Copenhagen.

Discretion is crucial, as you will occasionally handle sensitive information.

Areas of Responsibility:
  • Managing calendars and meetings for a group of partners
  • Plan travels, including flight, hotel bookings, and visa applications
  • Expense management
  • Coordinating media engagements for interviews, podcasts, and lectures, and liaising with our Communication & PR department during the planning phase
  • Performing various ad hoc tasks to support events and other happenings in our HQ
The Ideal Candidate:
  • Speaks and writes English fluently; knowledge of other languages is an advantage, preferably Danish and French.
  • Is organized, structured, and both big-picture-savvy and detail-oriented
  • Is capable of multi-tasking and is comfortable with fast-paced decisions and rapidly changing environments
  • Is self-motivated, proactive, and completes tasks with a sense of urgency; can remain calm and polite under pressure
  • Has flexibility regarding working hours and enjoys a busy and creative environment with diverse personalities
  • Has a minimum of two (2) years of experience as an executive assistant, personal assistant, office assistant, administrative assistant or similar coordinator role.
  • Is discreet and understands the confidentiality of the role
  • Has a collegial spirit and is a team player, who wishes to engage in BIG’s unique office culture
