Job Description:
We are seeking a highly organized and proactive Administrative & Operations Assistant to join our team in Athens, Greece. The ideal candidate will play a crucial role in supporting both the daily administrative and operational tasks, ensuring the smooth functioning of our office and various business activities. This is an on-site position that requires a detail-oriented individual who can handle multiple responsibilities efficiently.
Key Responsibilities:
Administrative Support:
- Help the Administrative team to coordinate the daily calendar of the CEO, including scheduling appointments, meetings, and events.
- Prepare and organize documents for meetings, trips, and daily office activities.
- Maintain and update internal databases, including Salesforce, with contact information and meeting details.
- Assist in the preparation of weekly and annual reports, including summaries of key meetings and trips.
- Manage correspondence, including drafting reminder emails.
- Provide support in organizing both personal and business events for the CEO.
- Conduct research on recent news, press releases, and relevant industry updates to support the CEO and the team.
- Draft and update biographies for team members and key contacts.
- Prepare and distribute a monthly newsletter summarizing key news and events in Greece.
- Curate daily summaries of top Greece news and political articles for the CEO.
- Enter and maintain data in Salesforce, including business cards, tasks, and follow-up information.
- Assist with ad hoc office tasks such as ordering supplies, keeping the office organized, and maintaining records.
- Support in preparing research for conferences, presentations, and upcoming travel.
- Provide additional support as needed to ensure the smooth running of daily operations.
Education:
- Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
- Prior experience in an administrative or operations role is highly desirable.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Power Point).
- Familiarity with Salesforce or other CRM systems is a plus.
- Ability to multitask and prioritize effectively.
- Attention to detail and a high level of accuracy.
