Groups Reservation Assistant

Position Overview: The Groups Reservation Assistant is responsible for managing and coordinating all aspects of group reservations, ensuring that each booking meets the high standards of service expected by Travelive. This role involves working closely with vendors and with the team to create and manage group travel arrangements, from initial inquiry through to the completion of the trip. The ideal candidate will have excellent organizational skills, attention to detail, and a passion for delivering exceptional customer service.

Key Responsibilities

Reservation Management

  • Handle all aspects of group reservations, including accommodation, transportation, tours, and other travel services, ensuring accuracy and attention to detail.
  • Coordinate with hotels, transportation providers, tour operators, and other suppliers to secure the best rates and availability for group bookings.
  • Manage group proposals, contracts, deposits, payments, and other related financial transactions in accordance with company policies and procedures.

Coordination and Logistics

  • Work closely with the Senior Groups Department Manager and other team members to coordinate the logistics of group travel arrangements, including pricing, special requirements, and preferences.
  • Prepare detailed itineraries and travel documents for group clients, ensuring all information is accurate.
  • Monitor and manage any changes or issues that arise before or during the trip, working quickly to resolve them and minimize any disruption to the client’s experience.

Supplier/Partner Relations

  • Build and maintain strong relationships with key suppliers
  • Negotiate rates and terms with vendors to ensure competitive pricing and favourable conditions for group bookings.
  • Provide feedback for supplier performance to ensure continuous improvement in service delivery.

Administration

  • Maintain accurate records of all group reservations, including correspondence, contracts, payments, and other related documentation.
  • Assist with the preparation of reports and analysis related to group sales, providing insights into booking trends and opportunities for improvement.
  • Support the Senior Groups Department Manager with additional tasks as needed, contributing to the overall success of the department.

Qualifications

  • Minimum of 2-3 years of experience in a reservations or customer service role within the travel, hospitality, or tourism industry.
  • Previous experience in group travel or event coordination is a strong advantage.
  • Strong organizational skills with the ability to manage multiple bookings and tasks simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with clients, vendors, and colleagues.
  • High attention to detail, ensuring that all reservations and travel arrangements are accurate and complete.
  • Proficiency in reservation systems, CRM software, and Microsoft Office Suite.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Bachelor’s degree in hospitality management, Tourism, Business Administration, or a related field is preferred.
  • Fluency in English is required; proficiency in additional languages, particularly Greek, Spanish or Italian, is also an advantage
