Temporary Conference Events Assistant - Contract

Contract support roles available:
Corporate support:
1 position available, Monday January 2 to Friday March 21
  • You will be involved with coordinating presenter requirements and their meeting schedules for the forum. This will include their registrations, updating presenter details such as bios and participation requirements, updating teams re corporate acceptances, coordinating printouts of presentations, preparation of equipment needed, as well as keeping in regular contact with the corporates about their participation.
  • Strong Putonghua skills will be necessary for this role
Client support:
2 positions available, Monday January 20 to Friday March 21
  • As part of the client liaison team you will assist in scheduling approximately 4000 meeting interactions for delegates as well as liaise with delegates on their schedules and other forum related matters.
  • Someone who enjoys the challenge of solving complex puzzles will be suitable for this role.
Socials & Tour support:
1 position available, Monday January 20 to Friday March 21
  • This role involves coordinating bespoke tours and assisting on social activities around the forum. Tours will be in both Hong Kong and China, while the social activities would be in Hong Kong.
  • Strong logistics skills are required as well as client, vendor and corporate contact / liaison abilities.
  • Putonghua skills will be necessary for the role.

Requirements for all roles:
  • Candidates must be in Hong Kong, be a Hong Kong resident and have a work permit to be eligible.
  • Minimum 3-5 years of work experience in a similar capacity is an advantage but not a must.
  • Fluent English is a MUST. Strong Putonghua is an advantage.
  • Excellent computer skills. Preference for candidates with extensive experience with database programs such as MS Access, excel and mail merge programs.
  • Excellent attention to detail – cross referencing schedules, double checking records, etc.
  • Highly client focused and results driven.
  • Ability to collaborate across multiple functions and organizations.
  • Excellent communications skills, writing skills and presentations skills.
  • Must be a proactive “roll up the sleeve” type of person with a “can do” attitude.
  • Must be able to work long hours and over time as required.
