Position Overview:
We are seeking a highly skilled and experienced Executive Assistant (EA) to provide top-level support to our CEO. This individual will act as a crucial mediator between the CEO and key departmental heads, ensuring seamless communication and coordination across the organization. The ideal candidate will possess exceptional organizational abilities, a strong sense of discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:
1. Executive Support:
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare briefing materials, reports, and presentations for the CEO’s meetings and events.
- Handle confidential information with utmost discretion and integrity.
- Serve as a liaison between the CEO and key departmental heads, ensuring effective communication and coordination of initiatives.
- Facilitate cross-departmental collaboration on strategic projects and ensure that deadlines are met.
- Prepare and distribute meeting agendas, minutes, and follow-up actions for executive meetings.
- Monitor and manage the flow of information and communication to and from the CEO’s office.
- Assist the CEO in planning, coordinating, and executing special projects and strategic initiatives.
- Track the progress of key projects and provide regular updates to the CEO and relevant stakeholders.
- Identify potential issues or bottlenecks in projects and propose solutions to keep initiatives on track.
- Develop and maintain strong relationships with key internal and external stakeholders.
- Anticipate the needs of the CEO and proactively address them to ensure the smooth running of the executive office.
- Manage and coordinate the CEO’s involvement in key events, including conferences, board meetings, and client engagements.
- Draft and manage correspondence, communications, and other documents on behalf of the CEO.
- Organize and maintain the CEO’s files, records, and documents.
- Act as a first point of contact for the CEO in times of crisis, managing urgent issues and ensuring that the CEO is briefed and prepared to respond effectively.
- Coordinate with departmental heads to implement contingency plans and crisis management strategies.
- Experience: Minimum of 7-10 years of experience as an Executive Assistant, preferably supporting C-level executives.
- Education: Bachelor’s degree in business administration, Communications, or a related field; a Master’s degree is a plus.
- Skills:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proven ability to manage multiple priorities and work under pressure.
- High level of discretion and professionalism.
- Strong interpersonal skills with the ability to build and maintain relationships at all levels.
- Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
- Experience with project management tools and software is an advantage.
- Willing to travel would be an additional benefit.
