Position Type: Full-time, Permanent
Working Hours: Minimum 36.5 hours per week: 08:30 to 17:00, Monday to Thursday. Early finish most Fridays 08:30 to 13:00

Job Summary:
We are seeking a highly organised and detail-oriented Administrator to join our Finance team. This role is primarily focused on the administrative support for the finance department, with occasional reception / office administration duties (cover if receptionist is on break or annual leave). The successful candidate will be responsible for managing invoicing, filing, and providing support in other general finance tasks.
This role offers an excellent opportunity for growth through professional development within the finance function for a candidate who demonstrates the potential for exam sponsorship.
Key Responsibilities:
Invoicing & Finance Support:
  • Process purchase invoices: Match invoices to delivery dockets and verify prices against the system.
  • Record Keeping: Maintain accurate records of all invoicing activities.
  • Pegasus Accounts System: Post purchase invoices and assist with any finance-related data entry.
Filing & Document Management:
  • Digital & Physical Filing: Organize and maintain filing systems, ensuring accuracy and timely filing.
  • Correspondence Management: Process postal mail and emails, ensuring all documents are appropriately filed.
General Office Administration:
  • Meeting Coordination: Assist with scheduling meetings, booking rooms, and preparing materials.
  • Office Supplies: Order and maintain office supplies, ensuring stock levels are sufficient.
  • Employee Expenses & Accommodation: Organize travel and accommodation in line with company policies.
Reception Coverage:
  • Front Desk Duties: Greet visitors and assist them in a professional manner.
  • Phone Handling: Answer and direct phone calls, resolve basic queries, and take messages.
  • Reception Responsibilities: Receive small parcels, order stationary and sign in visitors etc.
Qualifications:
Essential:
  • Strong numerical skills with attention to detail.
  • Proficient in Microsoft Office Suite, especially Excel and Word.
  • Excellent organizational, multitasking, and time management abilities.
  • Strong communication and interpersonal skills.
  • Willingness to learn and develop skills in finance.
Desirable:
  • Familiarity with invoicing software (e.g., Pegasus) would be beneficial.
  • Basic understanding of office management procedures.
Job Types: Full-time, Permanent
Pay: €27,000.00-€32,000.00 per year
