Global Services Coordinator

Report to: Site Services Manager & Engineering Director
Hours: 37 hours per week -Monday to Thurs 8:00am- 4:30pm with early finish most Fridays at 1pm

Role Overview:
Davenham Switchgear, a Legrand company, is seeking a highly organised and proactive Global Service Coordinator to oversee the day-to-day activities of our global field service team. This newly created role will be crucial in effectively coordinating field operations, managing travel logistics and expenses, overseeing the company fleet, , and providing administrative support to field engineers. T
The ideal candidate will have a proven track record of creating documented processes that support effective service coordination, along with strong multitasking abilities, excellent communication skills, and experience in coordinating global teams.
Key Responsibilities:
Day-to-Day Management of Global Field Service Team:
Coordinate and manage the activities of the field service team, ensuring operational efficiency and effective time management.
Act as the main point of contact for field engineers to address daily queries, assignments, and scheduling issues.
Monitor and track job progress, providing regular updates to management.
Travel Arrangements:
Plan and organise travel logistics for the field service team proactively, including flights, accommodation, vehicle rentals, visas and other travel requirements.
Ensure compliance with company travel policies and optimise travel plans for cost-effectiveness and team convenience.
Address any travel-related issues in real time to minimise disruptions to field service operations.
Fleet Management:
Oversee the management of the company fleet, ensuring vehicles are well-maintained, insured, and serviced regularly.
Manage and maintain accurate records of fleet activities.
Liaise with service providers for maintenance, repairs, and fleet upgrades as needed.
Administrative Support:
Provide general administrative support to the field engineers, including documentation, filing, and preparing necessary paperwork for service jobs.
Assist in scheduling and organising required documentation for the effective delivery of site services operations.
Maintain accurate and up-to-date records of field activities, certifications, and compliance documents.
Expense Management:
Review, verify, and process field service team expenses, ensuring compliance with company expense policies.
Prepare weekly expense reports for management review.
Identify areas for cost optimisation and provide recommendations for reducing unnecessary expenses.

Communication: Strong written and verbal communication skills to interact with global teams and external stakeholders.
Problem-Solving: Quick thinking and resourcefulness in resolving logistical or operational issues.
Attention to Detail: High level of accuracy in handling travel bookings, expense reports, and fleet management.
Technological Proficiency: Familiarity with travel management tools, fleet management software, and expense tracking systems (e.g., Concur, SAP, or similar).
Interpersonal Skills: Team-oriented, with the ability to work well with cross-functional teams and build strong relationships.
Flexibility: Ability to adapt to changing priorities and handle emergency situations related to field service operations or travel arrangements.
Qualifications:
Education: A bachelor's degree in business administration, logistics, or a related field (preferred but not mandatory).
Experience:
Minimum 2-5 years of experience in a coordination or administrative role, preferably in a global or field service environment.
Previous experience managing travel arrangements and fleet management is highly desirable.
Software: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Proficiency in expense management software

Other: An understanding of travel policies, visa requirements, and global logistics is is preferred.
Job Types: Full-time, Permanent
Pay: €32,000.00-€40,000.00 per year
