Fleet Planner

Job Title: Fleet Planner
Based: Ballymount, Dublin 12
Reporting to: Engineering Manager


Purpose:
The Fleet Planner is responsible for ensuring the efficient and effective deployment of the bus fleet to meet operational requirements. This role involves planning, scheduling, and coordinating the allocation and maintenance of buses to optimise availability, minimise downtime, and support the company's service delivery objectives. The Fleet Planner will work closely with the Operations and Engineering Departments to ensure a smooth and reliable service.

Key Responsibilities and tasks
  • Responsible for managing fleet planning activities including developing and managing daily, weekly, and long-term fleet schedules to ensure optimal use of the bus fleet across all routes and services
  • Coordinate with the engineering department to schedule routine maintenance, repairs, and inspections, minimising vehicle downtime and ensuring fleet readiness.
  • Monitor the availability of vehicles for planned maintenance and ensure that service schedules are adhered to and ensure the timely return of buses from Engineering department to minimise disruptions to service
  • Track vehicle utilisation, mileage, and fuel consumption to ensure efficient fleet operation.
  • Identify trends and issues related to vehicle performance and recommend solutions to management
  • Ensure that the fleet meets safety and regulatory standards, including vehicle inspections, licensing, and insurance and keep up to date with changes in legislation affecting fleet operations
  • Maintain accurate records of vehicle status, including those in service, under maintenance, or awaiting parts
  • Collaborate with the operations and engineering teams to ensure clear communication about fleet status, availability, and service requirements
  • Communicate changes to schedules or vehicle allocations with relevant stakeholders, including Operations department
  • Maintain detailed records of fleet performance and availability using fleet management software
  • Provide regular reports on fleet utilisation, availability, maintenance, and performance to management.
  • Processing fleet Tax, CVRT bookings, and PSV applications
  • Supporting the development of the engineering maintenance system telematics
  • Process payroll on a weekly basis and liaise with HR and Finance to support Starter and Leaver process
  • Support HR Administrator in the recruitment process for the Engineering Department
  • Responsible for keeping our Time and Attendance system (Kelio) updated and compliant with annual leave, clocking in and out and monitoring any leave requests
  • Responsibility in managing, participating, and complying with the Integrated Management System (IMS).
Knowledge and Skills Requirements:
Essential:
  • Previous administrative experience in Transport Industry
  • Experience in a fleet related role
  • Computer Literate with excellent knowledge of Office 365
  • Strong knowledge of fleet management software, scheduling tools, and vehicle maintenance processes
  • Proficient in analysing data related to fleet performance, vehicle utilisation, and maintenance scheduling
Competencies, desirable traits or attributes:
  • Category D Driving licence
  • Strong communication skills, both written and verbal
  • Ability to work autonomously and make decisions
  • O-Licence compliance awareness
  • Ability to quickly respond to operational issues and develop solutions to ensure service continuity
  • Familiarity with regulatory requirements for fleet management and road transport safety
  • Excellent attention to detail
  • Work well under pressure, prioritise workload and meet deadlines
  • Discretion when handling confidential matters
