Integrations Manager

Reporting to: Head Of Operations
Purpose:
The Integrations Manager will work closely with all functions within the Company, ensuring that the transition for an acquired practice is seamless and positive for all concerned. This a full-time permanent role, offering an attractive package. Mainly based from our Head Office in Clontarf as well as regular travelling between practices. The role will actively involve coaching and training new members of staff across the entire group. Apart from practice integrations, the role will also involve ongoing training and improvement projects across the group.
Manager Skills
The integrations Manager role is vital in ensuring that the practices who are new to the Company have a successful integration. Ability to see the project through from start to finish and ensure all tasks are completed. Good organisational skills are key and being able to work under pressure and solve problems in a calm and responsive manner. The ability to coach and train staff in a supportive manner is also very important.
Communication Skills
Ability to appreciate the emotional and cultural issues faced by the newly acquired practice teams during the integration period. Good communication and influencing skills are essential to be able to support the teams at all levels, whilst developing and maintaining clear lines of communication with Head Office. Must be able to provide direction and build positive relationships with everyone.
Dental Experience
A good knowledge and experience of managing a dental practice is essential. Ideally this includes both the clinical and administrative sides of a dental practice.

Tasks and responsibilities
  • Work with the Head Office teams in advance of the practice acquisition to assist with the smooth running of the transaction and ultimate integration
  • Support the newly acquired practice teams as they work through the challenges and changes associated with an integration
  • Present a positive, supportive, flexible and compassionate image to all dentists and staff in the newly acquired practice
  • Provide support to ensure all documentation and processes are in place and updated where required
  • Co-ordinate between the practice and head office to ensure the staff and dentist onboarding is accurate and payroll / dentist pay process is seamless. This also includes all contractual matters and consultations around this.
  • Co-ordinate between the practice and head office to ensure that all supplier changeover and banking arrangements are all transitioned
  • Requirement to work on company-wide projects outside of integrations / during the period between integrations
  • Support and coach the Practice Manager through training of policies and procedures and DCI preferred ways of working
  • Support the Practice Manager and team with SOE upskilling, training and implementation where necessary and relevant
  • Support the Practice Manager and admin teams with the financial objectives, budget management and control, ensuring appropriate training where required
  • Support the practice with recruitment needs, coordinating with head office
  • Support the practice teams with diary management and improving efficiencies
  • Ensure PRSI, GMS and VHI transmissions are appropriately managed if applicable
  • Deliver regular practice meetings to keep the team fully informed of the integration
  • Collect data for the marketing team to enable revised website, practice brochures and referral packs, to deliver improved content across digital media
  • Lead any systems changes and staff training in new systems, in a supportive manner
  • Collect data for the compliance manager and ensure appropriate DCI policies are implemented
  • Ensure the Operations team is kept informed of the progression and performance of the newly acquired practice
  • Work closely with the Operations team to share best practice and ensure the practice revenue is reported on
  • Identify problems and create solutions
  • Ultimately transition of a settled practice to the Regional Operations Manager
  • Involved in ongoing training, upskilling and improvement programmes across the Dental Care Ireland group
Qualifications/Experience
Essential
Desirable
Dental management experience
Previous project management/integrations experience
Fluent in written and oral English
Experience of managing multiple projects across different geographical locations
Must be highly proficient in Microsoft and other systems associated with the role
Knowledge and experience of managing a dental practice is essential
Excellent communication and influencing skills are essential
The ability to travel long distances between practices and flexibility
Experience in operational management
