Job Description Summary
As the Receptionist/Admin Assistant, you will perform general receptionist duties along with supporting the facilities function with particular emphasis on purchase order creation and accounts payable for Ireland. The successful candidate will report to the UK & Ireland site services manager.Job Description

Main responsibilities will include:
-
Provide professional customer service by responding promptly to all enquiries
-
Greet and welcome visitors, determine purpose of visit, contact relevant employee / department and maintain visitor log.

Assist with incoming mail to appropriate personnel. Receive and distribute post to relevant departments.

Support facilities operations when needed through administrative tasks and coordination of activities.
-
Housekeeping of main reception area and other ad-hoc duties.
-
Provide support to the finance department on the following tasks: Processing/Posting of supplier invoices, Creditor statement reconciliations, bank account reconciliations, New/Modified vendor forms and filing.

Maintain office security by following safety procedures and controlling access via reception desk.

Monitor and log temporary employee, Contractor and Visitor ID cards.

Order front office supplies and keep inventory stock.
-
Create and manage purchase orders for the RCI Limerick and BD South Dublin facilities. This includes facilities related POs and those for fleet management.

Perform other clerical receptionist duties such as filing.

Coordinate room bookings with teams across the business as required.

Assist in event planning for meetings and business development sessions.
About you:
-
Experience in a similar role would be advantageous but not essential.
-
Customer Service attitude, dedicated to establishing and meeting the needs and expectations of internal and external customers

Professional attitude and appearance

Excellent Written and verbal communication skills

Ability to be resourceful and proactive when issues arise to find a resolution.

Excellent organisational skills

Multitasking and time management skills, with the ability to prioritise tasks
