About the role
We are seeking a highly organized and proactive Administrative Coordinator to join our team. The ideal candidate will have experience in administrative roles, strong planning skills, ability to work on their own initiative, and to effectively liaise with internal teams and third-party suppliers to ensure timely and accurate oil deliveries.
Key Responsibilities
- Plan and Coordinate Oil Deliveries: Schedule and manage oil deliveries to ensure timely and efficient service.
- Liaise with Internal Teams: Work closely with other departments, to gather and relay information related to delivery schedules, and order status.
- Communicate with Suppliers: Establish and maintain relationships with third-party suppliers and service providers. Address any issues or delays promptly to minimize disruption to delivery schedules.
- Record Keeping: Maintain accurate records of all scheduled deliveries. Ensure all records are processed and filed in compliance with company policies.
- Data Management: Utilize company systems and MS Office Suite, particularly Excel, to track delivery metrics, analyse data, and generate reports as needed.
- Problem-Solving: Identify and resolve any issues related to deliveries, including scheduling conflicts, supply shortages, and logistical challenges.
- Compliance: Ensure all delivery processes comply with company policies.
- Process Improvement: Contribute to the development and evolution of current processes to increase operational efficiencies. Identify areas for improvement, propose solutions, and implement changes to enhance delivery performance and overall workflow.
- Proficiency in MS Office Suite: Strong skills in Microsoft Word, Excel, and Outlook are essential. Experience with Excel functions such as VLOOKUP, pivot tables, and data analysis is highly desirable.
- Attention to Detail: Exceptional accuracy in managing delivery schedules, records, and communication to avoid errors and ensure smooth operations.
- Self-Motivated: Ability to work independently with minimal supervision while managing multiple tasks and meeting deadlines.
- Organizational Skills: Excellent organizational and time-management skills to handle various responsibilities and prioritize tasks effectively.
- Communication Skills: Strong verbal and written communication skills for effective interaction with internal teams, suppliers, and clients.
- Problem-Solving Abilities: Capable of identifying issues quickly and developing practical solutions to ensure smooth delivery operations.
- Previous Experience: Experience in an administrative role is an advantage.
