About the Division
LCD Operations function has a global presence and is responsible for running various Firmwide and Divisional initiatives within Legal and Compliance Division.
About the Role
We are seeking a suitably qualified candidate to join the team to focus on some of LCD Operations' keep the lights on responsibilities to ensure Japan Legal and Compliance Division runs smoothly and seamlessly aligned with other Legal and Compliance Divisions globally as well as other Divisions regionally.
Key Responsibilities
Support Chief Administrative Officer (CAO) to run the Division smoothly. Key responsibilities include, but not limited to, travel arrangements, maintaining office equipment and purchasing, processing invoices and reimbursements, manage budget and accruals, planning and logistic handlings for various internal and external events.
Build relationship with other Divisions particularly with Technology, Human Resources and Corporate Services to ensure support level required for the Division.
Familiarize with various Global Division-wide initiatives and Polices/Procedures such as Outside Counsel Policy, Contingent Labor Management Procedures, Model/EUC related procedures for example, and ensure regional adherence.
Assist various Firmwide initiatives such as Campus Recruiting, Internship program, Information Security management, BCP, Expense Policy management, and act as the Divisional point of contact and partner with other Divisions.
Manage various management information and report processes for the Division and its management, which includes creation of presentation materials.
Coordinate divisional initiatives and provide Compliance advisory support to infrastructure support functions where required, in collaboration with other Legal and Compliance professionals. Examples of the divisional initiatives are as follows but not limited to: Affiliate Monitoring Program, Alliance initiatives with MUFG, Compliance Risk Assessment, New Product Approval (NPA), Lessons Learned Program.
Qualifications, Skills & Requirements
3+ years in financial services industry or similar fast-paced industry in multi-cultural environment.
Experience in compliance or other risk management, risk/control-based roles.
Fluency in English and Japanese - both verbal and written is prerequisite.
Ability to research and resolve issues effectively and collaboratively as a team, as well as independently.
Proficiency in MS Office applications, particularly Excel formulas and functionalities, and Power Point preparation of visually appealing and clean presentations.
Familiarity with web-based user interface applications and proficiency in user level Technology related terminologies, tools and structure
Experience in administrative assistant or executive assistant roles.
Experience in corporate governance or advisory compliance roles.
Experience in business management, FP&A, COO team, project management or consulting roles.
Good understanding of investment banking corporate structure and roles and responsibilities of each division.
Experiences in regulatory on-site inspections.
